What You'll Do
As a Customer Service Agent at arenaflex, you'll be the frontline ambassador for our cargo operations. Your responsibilities extend far beyond answering phones—you'll be an integral part of our logistics ecosystem, ensuring that every customer interaction results in satisfaction and trust. Customer Assistance & Consultations
- Respond to customer inquiries with professionalism, patience, and accuracy, serving as the primary point of contact for shipping needs
- Provide comprehensive rate information, including quotes for special handling, oversized cargo, and expedited shipments
- Initiate and complete cargo bookings from start to finish, ensuring all documentation is accurate and compliant
- Track shipments in real-time and provide proactive updates to customers regarding status, delays, or issues
- Resolve customer complaints and concerns with a solutions-oriented approach, escalating complex issues when necessary
- Educate customers on shipping policies, restricted items, and best practices for preparing cargo
Documentation & Processing
- Process airway bills and other shipping documents with meticulous attention to detail
- Enter data into our computerized cargo management systems accurately and efficiently
- Maintain electronic and physical records of all transactions, ensuring compliance with regulatory requirements
- Verify shipment details, weights, dimensions, and special handling instructions
- Coordinate with warehouse staff, pilots, and ground crews to ensure smooth cargo transitions
- Generate reports as needed for management review and operational planning
Security & Safety Compliance
- Perform security screenings on cargo in accordance with TSA and DOT regulations
- Identify and report prohibited items or suspicious cargo according to established protocols
- Maintain a clean, organized, and secure warehouse environment at all times
- Adhere to all safety guidelines and procedures, including proper lifting techniques and equipment operation
- Participate in mandatory security training and certification programs
- Collaborate with security teams to ensure compliance with evolving threat assessment requirements
Operational Flexibility
- Perform duties in varying capacities at the direction of management to ensure complete customer satisfaction
- Adapt quickly to changing priorities and operational needs during high-volume periods
- Support cross-functional teams during peak seasons, emergencies, or special operations

Essential Qualifications
- Experience: A minimum of 2 years in customer service or community service roles—experience in logistics, transportation, or warehousing is a significant plus
- Communication: Exceptional verbal and written communication skills, with the ability to explain complex information clearly and professionally
- Technical Proficiency: Typing speed of at least 25 words per minute with proficiency in basic computer operations
- Physical Capability: Ability to consistently lift up to 50 pounds and perform physical tasks including bending, stooping, squatting, reaching, and grasping
- Availability: Willingness and ability to work non-traditional shifts, including nights, weekends, holidays, and overtime as needed
- Learning Agility: Capacity to master our computerized cargo systems and adapt to evolving procedures and technologies
- Work Pace: Ability to thrive in a fast-paced environment while maintaining accuracy and attention to detail
- Language: Proficiency in English, both spoken and written, is required for effective communication with customers and team members
- Education: High school diploma or equivalent (GED accepted)
- Age Requirement: Must be at least 18 years of age
- Authorization: Must be legally authorized to work in the United States
Preferred Qualifications
- Previous experience in air freight, shipping, or logistics operations

- SIDA Badge: Employees working at airport or maintenance hangar locations must obtain and maintain a SIDA badge provided by the airport authority. Failure to qualify for or maintain a SIDA badge will result in termination
- Drug Testing: Post-offer and pre-employment drug testing is required in accordance with DOT regulations. Testing includes marijuana, cocaine, opioids, phencyclidine (PCP), and amphetamines. Failure to submit to testing or positive results will render applicants ineligible
- Background Checks: Comprehensive background verification will be conducted for all candidates
