Position Overview
As a valued member of the arenaflex team, the Data Entry Clerk will serve as an essential backbone of our Energy Services Programs. You will be responsible for maintaining organized, accurate, and up-to-date digital records that support the day-to-day operations of our programs. Your meticulous attention to detail will ensure that our client information is properly documented, easily accessible, and compliant with all regulatory requirements.
This is a full-time remote position that offers flexibility while allowing you to make a genuine difference in the lives of individuals and families who rely on our energy assistance services. You will collaborate with program staff, communicate with clients, and contribute to the smooth delivery of services that help vulnerable populations manage their energy needs effectively.
Key Responsibilities
As a Data Entry Clerk at arenaflex, your primary duties will include:
- Client Records Management: Input and maintain updated client status records in the Statewide Client Service Center, ensuring the current production pipeline is accurately reflected at all times. You will be responsible for entering new client information, updating existing records, and verifying data accuracy.
- Communication Monitoring: Monitor incoming emails and promptly log all documents and communications in the Monday.com platform upon receipt. This ensures that no important information falls through the cracks and that all team members stay informed.
- Database System Utilization: Follow program guidelines for the use of all required database systems, including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, In Demand, and any other platforms as needed. You will become proficient in multiple software systems that are critical to our operations.
- File Organization and Compliance: Maintain organized digital and paper participant files in strict accordance with program guidelines, ensuring full compliance with agency and funder requirements. This includes proper categorization, secure storage, and adherence to retention policies.
- Team Collaboration: Work closely with program staff to support, enhance, and promote communication and consistency in the delivery of services. Your collaborative spirit will help ensure that everyone is on the same page and that clients receive seamless support.
- General Clerical Support: Assist with various clerical duties, including filing, mailings, phone coverage, and other administrative tasks as needed. Your versatility will be key in keeping our operations running smoothly.
- Remote Work Availability: Maintain availability for remote work, including attending virtual meetings, responding to emails promptly, and conducting regular duties as needed. You must be self-motivated and comfortable working independently.
- Professional Development: Attend all required staff meetings, supervision sessions, training programs, and contractual meetings. Participate in mandatory agency training and other relevant professional development activities to continuously improve your skills.
- Confidentiality: Ensure strict confidentiality is maintained in all aspects of the role. You will be handling sensitive client information, and protecting this data is paramount to our organization's integrity and trust.
- Additional Duties: Perform related work as required, demonstrating flexibility and a willingness to support the team in various ways.
Essential Qualifications and Skills
To succeed in this role, candidates must meet the following requirements:
- Education: Associate degree or equivalent professional experience. We value both educational background and practical work experience.
- Experience: Minimum of two years of experience in Human Services or a related field. Alternatively, applicable work experience working with diverse individuals and families with low incomes will be considered.
- Education-Experience Equivalency: Additional appropriate education may be substituted for experience, or additional directly related experience may be substituted for education. We take a holistic approach to evaluating qualifications.
- Language Skills: Bilingual in Spanish is preferred but not required. Bilingual candidates will have a significant advantage in serving our diverse client population.
- Technical Proficiency: Strong computer skills and the ability to learn multiple database systems quickly. Experience with Monday.com or similar project management platforms is a plus.
- Communication Skills: Excellent written and verbal communication abilities. You will be required to log documents accurately and communicate professionally with team members and clients.
- Organizational Skills: Exceptional attention to detail and the ability to maintain organized files and records. Precision is critical in this role.
- Confidentiality: Demonstrated ability to handle sensitive information with discretion and maintain strict confidentiality.
- Adaptability: Ability to work independently in a remote environment while staying connected to the team and meeting deadlines.
Preferred Qualifications

- Prior experience working in non-profit organizations or human services agencies
- Familiarity with energy assistance programs such as LIHEAP (Low Income Home Energy Assistance Program)
- Experience with client relationship management (CRM) systems
- Knowledge of state and federal regulations regarding client data confidentiality
- Previous remote work experience
- Strong interpersonal skills and a genuine passion for helping others
