Position Overview
As a Data Entry Support Specialist at arenaflex, you will be responsible for clerical and data entry work performed at our Adult Education office. This is a full-time remote position available to candidates located within the United States. You will work closely with our program administrators, instructors, and support staff to ensure seamless data management and compliance with federal and state regulations.
The ideal candidate is someone who is comfortable working independently, managing multiple tasks simultaneously, and maintaining a high level of accuracy in a remote work environment. You should be proficient in Microsoft Excel and other Microsoft Office applications, with the ability to quickly learn new software systems.
Key Responsibilities
Your primary responsibilities as a Data Entry Support Specialist will include but are not limited to:
- Database Management: Manage multiple databases to ensure accurate record-keeping and data organization. You will be responsible for maintaining the integrity of our student information systems and ensuring all data is properly categorized and stored.
- Grant Data Entry: Enter required grant data accurately into the NRS (National Reporting System) to meet monthly, quarterly, and year-end deadlines. This critical function ensures our programs receive proper funding and maintain compliance with grant requirements.
- Record Maintenance: Maintain appropriate records and follow required procedures and practices for attendance and assessment data. You will ensure that all student records are complete, current, and easily accessible when needed.
- FERPA Compliance: Maintain required security of student data in compliance with FERPA (Family Educational Rights and Privacy Act). Protecting student privacy is paramount in this role, and you will receive training to ensure full compliance with federal regulations.
- Data Quality Assurance: Complete regular error checks and data clean-up in NRS to ensure accurate reporting. You will identify and correct discrepancies, duplicate entries, and missing information to maintain data integrity.
- Data Accessibility: Ensure data is accessible in a timely manner to staff and other stakeholders. You will respond to data requests and generate reports as needed to support program operations.
- Task Prioritization: Organize and prioritize tasks to meet all local, state, and program deadlines. Strong time management skills are essential to succeed in this role.
- Student Outcome Monitoring: Monitor and evaluate student outcomes including pre/post testing with state-mandated assessments. You will help track student progress and prepare performance reports.
- Professional Development: Participate in staff meetings and professional development opportunities to enhance your skills and stay current with best practices in educational data management.
- Document Management: Scan documents and label items for proper filing and digital storage. Maintain organized digital files and materials for easy retrieval.
- Supply Inventory: Inventory supplies and assist with maintaining adequate office supplies for the team.
- Administrative Support: Perform basic word processing, prepare mailings, and assist with filing. Support the team with various administrative tasks as needed.
- Other Duties: Complete other assignments as required to support the smooth operation of our Adult Education programs.
Essential Qualifications
To be considered for this position, candidates must meet the following requirements:
- Education: High School diploma or GED required. An associate's or bachelor's degree in a related field such as Business Administration, Information Technology, or Education is a plus but not required.
- Technical Skills: Knowledge of standard office practices and procedures. Proficiency in Microsoft Office Software, with strong Excel knowledge being essential. You should be comfortable creating spreadsheets, using formulas, and organizing data in tabular formats.
- Typing Speed: Ability to perform office work quickly and efficiently while maintaining accuracy. Strong typing skills are required for this data-intensive role.
