We are currently seeking a dedicated and detail-oriented Call Center Representative to join our dynamic pharmacy services team in Orlando, Florida. About the Role: Call Center Representative – Pharmacy Data Entry & Patient Services
As a Call Center Representative at arenaflex, you will play a critical role in ensuring the smooth operation of our pharmacy services. Your primary responsibilities will involve accurate data entry, patient enrollment, and providing exceptional support to both patients and healthcare professionals. This role requires a unique blend of technical proficiency, communication skills, and a genuine passion for helping others.
Working under direct supervision, you will be responsible for processing high-volume customer requests, resolving complex issues, and adhering to established organizational policies and procedures. Your attention to detail and commitment to accuracy will directly impact patient safety and satisfaction, making this role both challenging and incredibly rewarding.
Key Responsibilities
Your day-to-day responsibilities as a Call Center Representative will include but not be limited to:
- Patient Enrollment & Data Entry: Accurately process new patient enrollments by entering essential information into our comprehensive pharmacy management systems. You'll follow arenaflex's established data entry protocols and guidelines to ensure complete and accurate patient records.
- Prescription Processing: Handle patient medication requests within strict HIPAA guidelines. This includes entering refill orders for processing, investigating missing prescription information, and deciphering clinical abbreviations and SIG codes to ensure proper medication dispensing.
- Exception Resolution: Resolve all data entry-related exceptions with precision and efficiency. You'll identify discrepancies, research solutions, and implement corrective actions to maintain data integrity.
- Patient Communication: Manage comprehensive correspondence with patients through multiple channels, including inbound phone calls, written correspondence, and outbound calls to prescribers and patients as needed. You'll serve as a knowledgeable and empathetic point of contact for all patient inquiries.
- Third-Party Resolution: Investigate and resolve third-party insurance rejections by examining claims, gathering necessary information, making appropriate adjustments, and resubmitting for processing according to specific plan requirements. This includes making phone calls to insurers and other parties to obtain information, gain override approvals, or otherwise resolve complex billing issues.
- Pharmacy Support: Provide essential support to our pharmacists, both those in your local office and those in other locations across our network. You'll collaborate seamlessly with team members to ensure optimal patient care.
- Issue Escalation: Identify potential issues and communicate them appropriately to senior-level staff, ensuring that concerns are addressed promptly and professionally.
- Regulatory Compliance: Maintain strict adherence to all state and federal regulations, including HIPAA requirements, while performing your duties. You'll uphold the highest standards of privacy and confidentiality.
Essential Qualifications & Requirements
To succeed in this role, you must meet the following requirements:
- Education: High School Diploma or GED (General Education Development) certificate is required.
- Technical Proficiency: Basic to intermediate computer skills, including the ability to start up and shut down computers, use mouse functions effectively, start and close programs, switch between applications, save documents appropriately, print reports, and access information online.
- Internet Navigation: Fundamental web browser proficiency, including the ability to open programs, correctly enter URLs, utilize search engines effectively, bookmark websites, navigate using back/forward/stop buttons, and complete online forms accurately.
- Keyboarding Skills: Intermediate keyboarding abilities, with a minimum typing speed of 25 words per minute (WPM). You should be comfortable typing from memory and organizing documents professionally.
- Communication Skills: Strong written and verbal communication abilities. You must be able to articulate information clearly, professionally, and empathetically to patients and healthcare professionals.
- Age Requirement: Must be 18 years of age or older at the time of hire.
- Licensure: Must obtain an active pharmacy technician license or certification within the first 90 days of employment and maintain that licensure throughout your tenure with arenaflex.
Preferred Qualifications & Additional Skills
While not strictly required, the following qualifications and skills will significantly enhance your candidacy and success in this role:
- Industry Experience: At least one year of pharmacy technician experience in a retail or call center environment. This background provides valuable insight into patient care dynamics and pharmacy operations.
- Advanced Certification: One and a half years or more as a pharmacy technician with current certification/registration by the state as granted by the State Board of Pharmacy or a nationally recognized certification organization.
- Customer Service Excellence: Demonstrated experience providing exceptional customer service to both internal and external clients. This includes meeting quality service standards and understanding customer satisfaction metrics.
- Advanced Keyboarding: Intermediate to advanced keyboarding abilities, with typing speeds of 35 WPM or higher. Proficiency in typing from memory and professionally formatting documents is highly valued.
- Bilingual Capabilities: Fluency in both Spanish and English is strongly preferred, as our patient population is diverse and multilingual communication skills greatly enhance our service delivery.
