Position Overview
arenaflex is seeking a dedicated and detail-oriented Hospice Pharmacy Concierge Specialist to join our growing team in the Evening/Overnight shift. In this essential role, you will serve as a pharmacy support professional, assisting our pharmacists with the medication procurement process for our diverse network of hospice partners across the United States. Your primary responsibilities will involve accurate data entry of patient and prescription information into our sophisticated online systems, coordination of prescription refills, and verification of inventory at our partnering pharmacies.

Key Responsibilities
As a Hospice Pharmacy Concierge Specialist at arenaflex, you will be entrusted with a variety of critical responsibilities that directly impact patient care and operational efficiency:
- Medication Procurement Support: Assist clinicians and pharmacists in the comprehensive medication procurement process, ensuring that hospice patients receive their prescribed medications in a timely and efficient manner.
- Data Entry & Verification: Complete thorough verification processes for quality patient care through meticulous data review and accurate data entry of patient information, prescription details, and medical documentation into our online systems.
- Quality Assurance: Participate in second-check procedures reviewing peer work to ensure accuracy and maintain the highest standards of quality in all patient-related documentation.
- Multi-System Navigation: Efficiently navigate between various software systems for communication, documentation, and completion of assignments, demonstrating adaptability and technical proficiency.
- Professional Communication: Communicate both directly and indirectly within the organization and with hospice partners via chat, email, phone calls, and patient profile documentation, maintaining professionalism and clarity at all times.
- Productivity & Quality Balance: Maintain a high level of productivity while balancing quality of care, effectively managing competing priorities and meeting established performance metrics.
- Phone & Inquiry Management: Answer phone calls, respond to routine questions from clinicians and partners, and appropriately escalate or outreach to pharmacists as needed for complex inquiries.
- Prescription Refill Coordination: Accurately include all necessary information when assisting clinicians for the procurement of hospice patient medication requirements, ensuring completeness and accuracy.
- Pharmacy Outreach: Call in patient prescription refills to designated dispensing pharmacies and outreach to pharmacy partners to complete stock checks, ensuring medications are available for patient care when needed.
- Team Collaboration: Work cooperatively with fellow Concierge team members and collaborate with professionals on various teams throughout the organization to achieve shared objectives.
- Training & Development: Assist in training new team members as assigned, sharing your expertise and contributing to the ongoing development of our team.
- Compliance & Privacy: Adhere strictly to all HIPAA protocols for patient privacy, maintaining confidentiality and security of protected health information in accordance with regulatory requirements.
- Additional Duties: Perform other duties as assigned to support the achievement of arenaflex's goals and objectives, demonstrating flexibility and a willingness to contribute to team success.
Required Qualifications & Skills
To succeed in this role, candidates must possess the following qualifications:
- Education: High School Diploma or equivalent is required.

Preferred Qualifications & Experience
While not required, the following qualifications would be highly beneficial and may distinguish candidates in the selection process:
- Prior experience in healthcare settings, demonstrating familiarity with patient care environments and workflows.
- Prior experience in a pharmacy-related setting or prescription order entry, providing foundational knowledge of pharmaceutical processes.
- Experience with various web browsers (Google Chrome / Firefox) and Google productivity tools (Docs, Sheets) for documentation and data management.
- Familiarity with hospice care models and end-of-life pharmacy services.
- Previous experience in a customer service or support role within the healthcare industry.

Work Environment & Schedule
This is a sedentary position where all work is completed sitting at a desk in a professional office setting or working from home. We understand the importance of ergonomic comfort, and stand-up desks are available upon request to support employee wellness and productivity.
Team members are provided with a laptop computer supplemented with two additional computer screens for efficient multitasking and system navigation. Headset equipment is provided for all telephone communications, ensuring hands-free operation and professional call handling. The Evening/Overnight shift requires availability during non-traditional business hours, and candidates must be comfortable working in a quiet, focused environment during these times.
