Job Description:
Join arenaflex as a Healthcare Provider Outreach Specialist
Are you ready to make a meaningful impact in the healthcare industry while advancing your career in a dynamic, fast-paced environment? At arenaflex, we're seeking talented individuals who thrive on communication, possess a passion for healthcare administration, and want to be part of a team that bridges the gap between healthcare providers and the patients they serve. As a Healthcare Provider Outreach Specialist, you'll play a critical role in ensuring accurate provider information, facilitating essential follow-up communications, and contributing to the efficiency of healthcare delivery systems across the nation.
The healthcare industry is evolving at an unprecedented pace, and accurate provider data has never been more crucial. At arenaflex, we understand that healthcare organizations rely on up-to-date information to deliver quality patient care, manage provider networks effectively, and ensure seamless coordination across the healthcare ecosystem. When you join our team as a Healthcare Provider Outreach Specialist, you become an integral part of this mission, helping to maintain the integrity of healthcare provider databases that millions of patients and healthcare organizations depend on every single day.
What You'll Do
As an outbound call center representative specializing in healthcare provider outreach, your primary responsibility will be to contact healthcare organizations on behalf of our valued clients to verify and update provider information. This role goes far beyond traditional customer service—it's about ensuring the accuracy of critical healthcare data that impacts patient care, insurance reimbursements, and provider network management.
Key Responsibilities Include:
- Outbound Call Operations: Place approximately 50-100 outbound calls daily to healthcare organizations, including hospitals, private practices, clinics, and other healthcare facilities. Each call is an opportunity to gather accurate, up-to-date information about healthcare providers.
- Provider Verification: Systematically verify provider details including credentials, specialties, contact information, practice locations, accepting insurance plans, and other essential data points that healthcare organizations and patients need to know.
- Follow-up Scheduling: Successfully schedule and coordinate follow-up calls with healthcare organization representatives, practice managers, and providers when additional information is required or when verification processes require multiple touchpoints.
- CRM Documentation: Meticulously capture and update all information gathered during calls in our customer relationship management (CRM) system, ensuring data integrity and providing clear documentation for our clients.
- Quality Assurance: Adhere to strict quality standards for data accuracy, call handling procedures, and documentation practices that meet both arenaflex and our clients' compliance requirements.
- Relationship Building: Establish professional rapport with healthcare administrators, office managers, and providers while representing arenaflex in a positive, knowledgeable manner.
- Issue Resolution: Address and escalate any discrepancies or complex issues encountered during outreach efforts to ensure timely resolution and client satisfaction.
- Performance Metrics: Meet or exceed daily call volume targets, accuracy standards, and productivity goals while maintaining exceptional communication quality.
What We're Looking For
We're seeking candidates who bring a unique combination of communication skills, healthcare industry awareness, and the ability to thrive in a target-driven environment. While we provide comprehensive training, the ideal candidate will possess certain foundational qualities that set them up for success in this role.
Essential Qualifications:
- High school diploma or equivalent; associate's or bachelor's degree in healthcare administration, communications, or a related field is preferred but not required.
- Previous experience in outbound call center environments, customer service, or telemarketing is highly desirable but we welcome motivated individuals who are eager to learn and grow.
- Excellent verbal communication skills with the ability to speak clearly, professionally, and persuasively over the telephone.
- Strong active listening skills to accurately capture information during conversations with healthcare professionals.
- Comfortable navigating computer systems and learning new software applications, including CRM platforms.
- Ability to type accurately while maintaining conversation flow (minimum 35-40 WPM).
- Strong attention to detail with the ability to accurately input and verify data points.
- Excellent time management skills with the ability to meet daily call volume targets consistently.
- Professional demeanor and the ability to maintain composure when handling challenging conversations or situations.
- Self-motivated with a results-oriented approach to work.
Preferred Qualifications:
- Prior experience in the healthcare industry, including familiarity with medical terminology, provider credentialing, or healthcare insurance concepts.
- Understanding of healthcare provider networks, insurance payer systems, or electronic health records.
- Previous experience working with CRM systems such as Salesforce, HubSpot, or similar platforms.
- Bilingual capabilities (English/Spanish) are highly valued and may qualify candidates for additional compensation.
- Experience in outbound sales, lead generation, or appointment setting roles.

- Integrity: Accuracy is paramount in healthcare data. You must be committed to honest, ethical practices and taking responsibility for the quality of your work.
