They leverage AI-driven chatbots to generate high volumes of leads and require strong human execution to convert opportunities and keep operations moving.
Why does this role exist?
This role exists to independently manage day-to-day freight dispatching and driver coordination while ensuring strict DOT compliance and profitable load booking. The company’s chatbot systems generate significant lead volume and operational work; this role will execute on that output, eliminate costly capacity/pricing errors, and maintain responsive communication during U.S. Eastern business hours. The objective is to protect margins, move freight efficiently, and clear a substantial admin backlog without sacrificing accuracy or compliance.
The Impact you’ll make
Freight Dispatch and Load Booking
• Source, evaluate, and book profitable loads from load boards, matching freight to the correct truck/equipment type.
• Manage end-to-end coordination with shippers, brokers, and drivers to ensure on-time pickup and delivery.
• Track transportation lanes and pricing to negotiate and maintain profitability.
Driver Recruitment and Compliance
• Vet and hire CDL Class A drivers: validate licenses, equipment suitability, blacklist status, insurance, drug testing, and agreement to terms.
• Ensure ongoing DOT/FMCSA compliance for drivers and operations, maintaining accurate records.
• Coordinate onboarding and communicate expectations, safety, and document requirements.
Capacity, Pricing, and Profitability Analysis
• Calculate truck capacity and tonnage, weight limits, and percentage capacity to avoid under/over-booking.
• Perform per-ton and per-load pricing analysis to protect margins and prevent unprofitable dispatches.
• Monitor load profitability by lane and equipment type; adjust strategies in real time.
AI/Chatbot Workflow Execution and Lead Follow-up
• Action chatbot-generated leads with timely, human follow-up to convert opportunities into booked freight and/or driver hires.
• Maintain and execute on chatbot output using ChatGPT, Flowmatic, and Superhero AI as needed.
• Track lead status, responses, and outcomes in the email system/CRM as directed.
Administrative Operations (Email and Content)
• Clear and send 7,800+ draft emails with accuracy and appropriate personalization where required.
• Post 150+ blog articles to the website/CMS per guidelines, ensuring correct formatting, links, and metadata.
• Maintain daily operational workflows, documentation, and reporting to keep leadership informed.
Skills, Knowledge and Expertise
Required:
• Proven experience in intermodal transportation logistics and freight dispatching, including load board sourcing and booking.
• Deep working knowledge of truck/equipment types (including RGN, flatbeds, dry vans, reefers, dump trucks, etc.) and when to use each.
• Strong quantitative skills to calculate truck capacity, weight/tonnage, and per-ton pricing; able to make go/no-go decisions quickly.
• Hands-on experience vetting/hiring CDL Class A drivers and maintaining DOT/FMCSA compliance.
• Availability Monday–Friday, 8am–5pm Eastern Time; excellent written and verbal English communication.

• Logistics acumen: Understanding of lanes, market rates, fuel surcharges, and equipment constraints to ensure profitable loads.

• Soft skills: Proactive communicator, calm under pressure, decisive, organized, and accountable with a strong sense of urgency.
