Wolf Greenfield is a law firm specializing in intellectual property. They are seeking a Paralegal Assistant to provide clerical and administrative support to the Patent Paralegal group, assisting with data entry, citation generation, and general database maintenance.
Responsibilities
- Enters data into appropriate systems
- Generates and formats citations for prior art references
- Reviews citations for accuracy and edits accordingly
- Creates and organizes electronic folders of pdf copies of references
- Performs general database maintenance and cleanup
- Prepares and uploads references to USPTO’s EFS-Web database
- Creates and maintains folders in Outlook containing correspondence pertaining to Patent Paralegals
- Tracks vendor invoices and forwards to Accounts Payable for processing
- Assists paralegals with docket organization and management
- Drafts shell documents in Word and/or Excel
- Assists with a variety of other department related projects as requested
Skills
- Bachelor's degree or prior experience in a professional setting
- Highly proficient in MS Outlook, Word, and Excel as well as basic computer and database management skills
- Strong oral and written communication skills and the ability to effectively communicate workflow and project updates
- Strong time management, prioritization, problem-solving, and organizational skills, and the ability to work effectively in a high-pressure environment
- Strong interpersonal skills and ability to work effectively with different levels of constituencies
- Flexibility and capacity to respond calmly, efficiently, and effectively in stressful situations
- Ability to adhere to established work schedule, but with flexibility required to respond to workload demands including overtime requests when needed
- Punctual and reliable and able to meet set deadlines and work effectively under pressure
- Ability to maintain confidentiality of matters and other firm business information
