Position Overview: Remote Call Center Representative
As a Remote Call Center Representative at arenaflex, you will serve as the frontline of our patient support services. In this role, you'll handle high-volume inbound and outbound communications, process patient information with accuracy and confidentiality, and ensure that every interaction meets arenaflex's rigorous standards for quality and customer satisfaction. You'll be working directly with patients, pharmacists, prescribers, and insurance providers to resolve inquiries, process prescription requests, and deliver outstanding service that reflects arenaflex's commitment to healthcare excellence.
This position reports to experienced supervisors who will provide guidance, mentorship, and the support you need to excel. You'll be equipped with the tools, training, and resources necessary to handle diverse customer interactions efficiently and professionally. Key Responsibilities
As a vital member of the arenaflex customer service team, your responsibilities will include but are not limited to:
- Patient Enrollment & Data Entry: Process new patient registrations by accurately entering demographic and prescription information into arenaflex's pharmacy management systems, adhering to state and federal guidelines.
- Prescription Processing: Handle patient medication requests within HIPAA compliance, enter refill orders for processing, and investigate any missing prescription information.
- Medical Documentation: Interpret clinical abbreviations and SIG codes to ensure accurate prescription entry and patient instruction delivery.
- Exception Resolution: Resolve data entry-related exceptions and discrepancies efficiently, maintaining data integrity throughout the process.
- Multi-Channel Communication: Manage inbound calls, chats, and messages from patients, as well as make outbound calls to prescribers and patients as needed to resolve inquiries or gather essential information.
- Third-Party Issue Resolution: Investigate, collect information, and resolve third-party insurance rejections or billing issues by reviewing claims, making necessary corrections, and resubmitting for processing according to specific plan requirements.
- Provider Communication: Contact insurance carriers and other parties to obtain information, secure override approvals, or resolve complex insurance-related issues.
- Pharmacist Support: Provide assistance to pharmacists both in our offices and at other locations, serving as a reliable resource for information and problem-solving.
- Escalation Management: Identify and communicate issues to senior-level staff appropriately, ensuring timely resolution and continuous improvement.
- Compliance & Licensing: Acquire and maintain an active professional license or certification as required within the first 90 days of employment, in accordance with state regulations.
Essential Qualifications
To succeed in this role at arenaflex, candidates must meet the following requirements:
- Education: Bachelor's Degree preferred; equivalent combination of education and experience will be considered.
- Computer Proficiency: Basic level computer skills including the ability to start up/shut down computers, use pointing devices, navigate between programs, save documents, print reports, and access information online.
- Web Navigation: Familiarity with web browsers, including opening browsers, entering URLs correctly, using search engines, bookmarking websites, and navigating using back/forward/stop buttons.
- Keyboard Skills: Intermediate-level keyboarding proficiency (minimum 25 WPM) with the ability to type from memory and format documents professionally.
- Communication Skills: Excellent written and verbal communication skills, with the ability to convey information clearly, professionally, and empathetically.
- Confidentiality: Strong understanding of patient privacy regulations (HIPAA) and a commitment to maintaining confidentiality at all times.
- Problem-Solving: Ability to analyze situations, identify issues, and implement effective solutions in a timely manner.

Preferred Qualifications

- Pharmacy Experience: Minimum 2 years of pharmacy technician experience in a retail or call center environment.
- Certification: At least 1.5 years as a pharmacy technician with current certification/registration by the State Board of Pharmacy or a nationally recognized certification organization.
- Customer Service Excellence: Demonstrated experience providing exceptional customer service to both internal and external clients, including meeting quality service standards and customer satisfaction metrics.
- Advanced Typing: Moderate to advanced keyboarding skills (minimum 35 WPM) with proficiency in typing from memory and document formatting.
- Bilingual Skills: Fluency in both Spanish and English (verbal and written) is highly desirable, as we serve a diverse patient population.
- Healthcare Software: Familiarity with pharmacy management systems, insurance claims processing, and electronic health records.
