Position Overview
As a Remote Data Entry Specialist at arenaflex, you will be responsible for maintaining accurate records and databases for our Adult Education division. This position requires exceptional attention to detail, strong organizational skills, and the ability to manage multiple deadlines effectively. You will work closely with program administrators, educators, and support staff to ensure that all student data is properly entered, maintained, and protected in accordance with federal regulations.
Key Responsibilities
Your primary duties as a Data Entry Support Specialist will include:
- Database Management: Manage multiple databases to ensure accurate record-keeping and data organization across various systems and platforms
- Grant Data Entry: Enter required grant data accurately into the NRS (National Reporting System) to meet monthly, quarterly, and year-end deadlines with precision and timeliness
- Record Maintenance: Maintain appropriate records and follow required procedures and practices for attendance and assessment data, ensuring completeness and accuracy at all times
- Compliance & Security: Maintain required security of student data in full compliance with FERPA (Family Educational Rights and Privacy Act) regulations, protecting sensitive information from unauthorized access
- Quality Assurance: Complete regular error checks and data clean-up in NRS to ensure accurate reporting and data integrity
- Data Accessibility: Ensure data is accessible in a timely manner to staff and other stakeholders who require it for program management and decision-making
- Task Prioritization: Organize and prioritize tasks effectively to meet all local, state, and program deadlines without compromising accuracy
- Student Outcome Monitoring: Monitor and evaluate student outcomes including pre/post testing with state-mandated assessments, documenting results accurately in the appropriate systems
- Collaboration: Participate in staff meetings and professional development opportunities to enhance your skills and contribute to team success
- Document Management: Scan documents and label items systematically for digital archival and easy retrieval
- Supply Management: Maintain inventory of office supplies and coordinate with appropriate personnel to ensure adequate resources are available
- Word Processing: Perform basic word processing tasks including document creation, formatting, and editing as needed
- File Organization: Organize digital files and materials in a logical, accessible manner that supports efficient operations
- Mailing & Filing: Prepare mailings and assist with physical and digital filing systems to maintain organized records
- Additional Assignments: Perform other duties as required to support the smooth operation of the Adult Education office
Qualifications & Requirements
Essential Qualifications:
- High School diploma or GED required
- Strong knowledge of standard office practices and procedures
- Proficiency in Microsoft Office Software, with particular emphasis on Excel
- Ability to perform office work quickly and efficiently while maintaining exceptional accuracy
- Excellent planning, organizing, and prioritization skills to manage multiple deadlines
- Strong verbal and written communication abilities
- Capacity to work cooperatively with others in a team environment
- Ability to work under pressure with frequent interruptions while maintaining composure and accuracy
Preferred Qualifications:
- Previous experience in data entry or administrative support roles
- Familiarity with educational data systems, particularly NRS (National Reporting System)
- Understanding of FERPA compliance requirements
- Experience working in adult education or related nonprofit sectors
- Associate's degree or higher in Business Administration, Education, or a related field
- Experience with database management and data validation processes
- Knowledge of state and federal reporting requirements for educational programs
