Note: The job is a remote job and is open to candidates in USA. American Promise is an organization focused on civic engagement and promoting democratic values, and they are seeking a Director of Executive Operations. This critical role supports the executive functions of the organization by managing the executive calendars, coordinating with the Board of Directors, and overseeing special projects.
Responsibilities
- Maintain the executive calendars: schedule and confirm appointments proactively and accurately, arrange meeting facilities, make and confirm travel plans
- Prepare agendas or presentations, attend meetings with the executive, and take, transcribe, and distribute notes or minutes
- Ensure executives stay on schedule and meet daily deliverables, monitor, and maintain their task lists, dashboards and workflow
- Support internal and external correspondence and communications
- Handle sensitive information with discretion
- Work to maintain smooth and accurate operational functions within the executive office and ensure efficient use of time while enabling executives’ shifting priorities
- Process and follow up on service and support needs, including IT, travel, and expenses
- Support various departmental projects from inception to execution, holding accountability for the time management and workflow process to ensure excellent results
- Support event planning and special projects internally and externally
- Provide office support, including supply management and event/meeting logistics coordination
- Limited travel and after-hours work may be required on occasion
- Additional duties as assigned
Skills
- A commitment to the American Promise mission, goal, and values
- 5+ years of experience in an Executive Assistant, Director of Operations, or similar position
- Highly organized and can prioritize and execute multiple tasks efficiently
- Demonstrates a high level of professionalism and confidentiality
- Demonstrates cultural competence and sensitivity, and a dedication to uniting people of widely different backgrounds and political views in pursuing a common goal
- Demonstrates and values integrity, sound judgment, adaptability, reliability, and collaboration
- Excellent interpersonal skills
- Excellent communications skills, written and verbal
- Proficient in using Google Suite products, MS Office products, Slack, and other digital platforms
