We are currently seeking a detail-oriented and motivated Energy Services Data Entry Clerk to join our growing team. Position Overview
As a valued member of the arenaflex team, the Data Entry Clerk will play a crucial role in maintaining organized and up-to-date digital files to support the day-to-day operations of our Energy Services Programs. You will be the backbone of our operations, ensuring that client records are accurate, accessible, and compliant with all regulatory requirements. Your attention to detail and organizational skills will directly impact our ability to serve community members efficiently and effectively.

You will collaborate with program staff, maintain critical databases, and help ensure that vital energy assistance services reach those who need them most.
Key Responsibilities
As an Energy Services Data Entry Clerk at arenaflex, your responsibilities will include:
- Client Records Management: Input and maintain updated client status records in the Statewide Client Service Center, accurately reflecting the current production pipeline and ensuring all information is current and precise.
- Communication Monitoring: Monitor emails, log documents, and process communications in the Monday.com platform upon receipt, ensuring nothing falls through the cracks and all stakeholder communications are properly documented.
- Database Management: Follow program guidelines for the use of all required database systems, including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, In Demand, and other specialized software platforms used in energy assistance programs.
- File Organization: Maintain organized digital and paper participant files in accordance with program guidelines, ensuring full compliance with agency and funder requirements and audit standards.
- Team Collaboration: Collaborate with program staff to support, enhance, and promote communication and consistency in the delivery of services, serving as a reliable point of contact for administrative needs.
- General Clerical Support: Assist with various clerical duties, including filing, mailings, phone coverage, and other administrative tasks as needed to keep operations running smoothly.
- Remote Work Availability: Maintain availability for remote work, attending meetings, responding to emails promptly, and conducting regular duties as needed during core business hours.
- Professional Development: Attend all required staff meetings, supervision sessions, training programs, and contractual meetings to stay current with program requirements and best practices.
- Training Participation: Participate in mandatory agency training and other relevant professional development activities to enhance your skills and knowledge in human services and energy assistance programs.
- Confidentiality Maintenance: Ensure strict confidentiality is maintained in all aspects of the role, protecting sensitive client information and adhering to privacy regulations and agency policies.
- Additional Duties: Perform related work as required, adapting to the dynamic needs of our energy services programs and the communities we serve.
Required Qualifications and Skills
To succeed in this role, candidates should possess:
- Education: Associate degree or equivalent professional experience in a related field.
- Experience: Two years of experience in Human Services or a related field, or applicable work experience working with diverse individuals and families with low incomes.
- Equivalency: Additional appropriate education may be substituted for experience, or additional directly related experience may be substituted for education, on a case-by-case basis.
- Language Skills: Bilingual in Spanish preferred, as this will enable you to serve a broader range of community members effectively.
- Technical Proficiency: Strong computer skills and familiarity with database management systems, email platforms, and standard office software.
- Communication Skills: Excellent written and verbal communication skills, with the ability to interact professionally with clients, colleagues, and external partners.
- Organizational Abilities: Exceptional attention to detail and organizational skills, with the ability to manage multiple tasks and priorities effectively.
- Confidentiality: A strong commitment to maintaining confidentiality and handling sensitive information with discretion.
