Note: The job is a remote job and is open to candidates in USA. Doc Wealth is a fast-growing tax planning, filing, bookkeeping, and payroll firm built exclusively for physicians. They are seeking an Operations Associate to manage workflows, coordinate with teams and clients, and ensure operational efficiency from day one.
Responsibilities
- Managing and executing client onboarding workflows including entity formations (LLCs, S-corps, PLLCs), payroll setup, and vendor coordination across multiple states
- Tracking and following up on every open item in your queue. Every single one. Nothing sits untouched. Nothing gets forgotten
- Running quality control checks on client deliverables before they go out the door
- Coordinating across internal teams (tax, bookkeeping, payroll) to keep work moving on schedule
- Maintaining data accuracy across our CRM and project management tools (Monday.com, TaxDome, Google Workspace)
- Identifying process bottlenecks and inefficiencies, then proposing and implementing fixes
- Building and maintaining SOPs, checklists, and documentation for repeatable workflows
- Managing vendor relationships, tracking turnaround times, and escalating issues before they become client problems
- Communicating proactively with clients on status updates so they never have to chase us
Skills
- Bachelor's degree completed (business, operations management, information systems, or similar preferred but not required)
- 0-3 years of professional experience. Fresh graduates are welcome and encouraged to apply
- Strong written communication
- Reliable internet connection and a quiet workspace for remote work
- Interest in business operations, process management, or building systems
- Degree in business, operations management, information systems, or related field
- Experience with project management or workflow tools (Monday.com, Asana, Trello, ClickUp, or similar)
- Familiarity with Google Workspace (Sheets, Docs, Drive)
- Any exposure to professional services (accounting, tax, law, consulting)
- Prior internship or work experience in an administrative or operational capacity
- Comfort working asynchronously in a fully remote environment
