Position Summary
This is a fully remote position that serves as the frontline of communication between our customers, service technicians, and internal teams. As a 3rd Shift Customer Experience Agent at arenaflex, you will be primarily responsible for providing exceptional customer service over the phone, obtaining complete and accurate information while assisting customers in a timely and professional manner.
Your role will encompass a dynamic mix of responsibilities, including answering inbound phone calls, initiating outbound calls for service scheduling, efficiently handling customer inquiries and requests, and dispatching calls to qualified technicians based on geography, expertise, and customer preferences. Additionally, you will perform various administrative duties that support our operations and ensure seamless service delivery.
The ideal candidate for this position will be comfortable working during evening and overnight hours, as this role supports our 3rd shift operations. Work Schedule
We offer a predictable and consistent schedule that provides work-life balance while allowing you to be an integral part of our team:
- Monday through Thursday: 6:00 PM – 2:30 AM
- Sunday: 3:30 PM – 12:00 AM

Key Responsibilities
As a vital member of our customer experience team, you will be responsible for a wide range of duties that ensure smooth operations and exceptional service delivery. Your daily responsibilities will include:
- Answering inbound phone calls to schedule jobs and handle customer service inquiries with professionalism, empathy, and efficiency
- Initiating outbound phone calls for the scheduling of service calls, follow-ups, and customer confirmations
- Handling various customer inquiries and requests efficiently and accurately, ensuring that each interaction leaves a positive impression
- Dispatching the correct technician to each job based on qualifications, geographic coverage, customer preference, and availability
- Utilizing Service Titan software to effectively plan, schedule, and dispatch jobs while maintaining accurate records
- Proactively communicating with customers regarding estimated arrival times, technician details, service updates, and any changes to their scheduled appointments
- Communicating with technicians regarding availability, workload distribution, expected completion times, and any urgent updates
- Ensuring accuracy of details on all scheduled calls, including customer name, phone number, address, service type, and special instructions
- Performing a variety of administrative duties as requested by your direct supervisor and other managers in the company
- Maintaining high interaction with service technicians and various customers from both residential and commercial backgrounds
- Completing other duties as assigned to support team goals and organizational objectives
Essential Qualifications
To succeed in this role, you must meet the following requirements:
- Residency: Must live in the state of Illinois
- Geographic familiarity: Must be familiar with the surrounding Chicagoland area, including major routes, neighborhoods, and local landmarks
- Education: High school diploma or equivalent (GED) required
- Experience: Minimum of 3 years of relevant work experience in a customer service environment
- Dispatch experience: Previous dispatch experience is a plus but not required
- Communication skills: Strong verbal and written communication skills are essential for interacting with customers and team members
- Industry knowledge: Plumbing, Electric & HVAC experience is a plus but not required
- Attention to detail: Must demonstrate exceptional accuracy in data entry, scheduling, and customer communication
- Priority management: Ability to manage priorities and workflow effectively in a fast-paced environment
