Position Overview

We are currently seeking an experienced Administrative Assistant 3 to provide comprehensive administrative support to our King County audit teams. This is a fantastic opportunity for a seasoned professional who enjoys variety in their work and wants to make a meaningful contribution to public service.

This position offers a flexible hybrid work arrangement, allowing you to balance professional responsibilities with your personal life. You'll have the opportunity to work remotely while also supporting multiple offices in the King County area, providing valuable in-person assistance when needed.

Key Responsibilities

Administrative Support to Audit Management


  • Serve as a trusted liaison between Audit Managers and other staff members, facilitating clear and effective communication

  • Respond to daily information requests from Audit Managers via telephone and email with professionalism and timeliness

  • Coordinate office operations to ensure optimal use of space, equipment, and personnel

  • Establish and maintain liaison relationships with technical support teams in our central location

  • Manage office accounts, lease agreements, and equipment maintenance schedules

  • Oversee office supplies and equipment procurement within budget constraints and policy guidelines

  • Exercise purchase authority while maintaining compliance with all financial policies

  • Manage team-level equipment inventory according to organizational procedures

Budget and Financial Management


  • Review and monitor team-level budgets with attention to detail and accuracy

  • Serve as purchase card custodian, maintaining and reconciling purchase card activity logs and credit card statements

  • Review, reconcile, and manage team recognition items, including procuring gift cards and recognition gifts

  • Ensure all financial transactions comply with established policies and procedures

Human Resources and Payroll Support


  • Coordinate comprehensive personnel administration activities, including recruitment efforts and interview scheduling

  • Facilitate new hire orientation processes to ensure positive onboarding experiences

  • Review and process staff time summaries, leave slips, and travel vouchers for accuracy and completeness

  • Assist staff members in correcting any errors in timekeeping or expense documentation

  • Submit required documentation to human resources and maintain organized file copies

  • Oversee travel time review in accordance with team-level processes and policies

  • Ensure all required human resources documents are processed correctly and filed appropriately

Audit Support and Client Services


  • Assist auditees and citizens with concerns, questions, and information inquiries in a professional and courteous manner

  • Maintain audit files, including initial setup, electronic data management, and future audit work files (FAWF)

  • Coordinate record retention and destruction processes in compliance with legal requirements

  • Assist with audit scheduling, including initial client contact, scheduling entrance and exit interviews

  • Send out pre-audit request lists and update schedules as needed

  • Support the management and tracking of outstanding hotline and fraud cases

  • Maintain case activity logs and facilitate communication with citizens, clients, and team members regarding case status

  • Assist with creating audit engagement letters for open audits

  • Prepare and print documents for meetings, including entrance and exit conference materials

  • Support data input activities as needed at the team level

Essential Qualifications


  • Proven experience in administrative support roles, preferably in a professional or governmental environment

  • Strong organizational skills with the ability to manage multiple priorities simultaneously

  • Excellent verbal and written communication skills

  • Proficiency in Microsoft Office applications and standard office equipment

  • Ability to maintain confidentiality and handle sensitive information appropriately

  • Strong attention to detail and accuracy in all work products

  • Experience with budget monitoring and financial reconciliation

  • Customer service orientation with the ability to work effectively with diverse populations

  • Problem-solving skills and the ability to work independently with minimal supervision

  • Flexibility to travel to different offices within the King County area as required

Preferred Qualifications


  • Previous experience supporting audit teams or similar professional services

  • Familiarity with human resources and payroll processes

  • Experience in a public sector or government environment

  • Knowledge of record retention policies and procedures

  • Experience with inventory management systems

  • Bachelor's degree in Business Administration, Public Administration, or a related field
