Position Overview

We are currently seeking a talented Administrative Assistant & Data Entry Associate to join our administrative team on a part-time basis. In this role, you will provide comprehensive support to our executives and staff, ensuring efficient operations and excellent administrative services. The ideal candidate will be a proactive problem-solver who can anticipate needs, manage competing priorities, and maintain professionalism in all interactions.

You'll be involved in a wide range of tasks, from scheduling and calendar management to data entry and vendor coordination. Key Responsibilities

As an integral member of the arenaflex administrative team, you will be responsible for the following:


  • Executive Scheduling Support: Assist with scheduling for executives and other staff as necessary, including coordinating complex calendars, arranging meetings, and managing appointment requests. You'll ensure all parties are informed of schedules, meeting locations, and any changes in a timely manner.
  • Financial Administrative Support: Assist the Finance Director with reports, collecting data, and various financial administrative tasks. This includes preparing documentation, organizing financial records, and ensuring accurate data entry across financial systems.
  • Recruitment & Job Posting Management: Manage and post job advertisements across internal and external platforms. You'll work closely with our HR team to ensure job postings are accurate, posted to appropriate channels, and maintained in accordance with our recruitment standards.
  • Vendor & Building Management: Serve as the primary point of contact and manage relationships with building management and vendors. This includes responding to inquiries, resolving issues, and maintaining positive professional relationships.
  • Contract Management: Negotiate and manage vendor contracts, ensuring favorable terms and conditions for arenaflex. You'll work with vendors to establish agreements, renew contracts, and maintain comprehensive contract documentation.
  • Communication Management: Answer and direct phone calls, emails, and other inquiries professionally and efficiently. You'll serve as the first point of contact for many stakeholders, representing arenaflex with excellence.
  • Calendar & Appointment Management: Organize and schedule appointments and meetings, ensuring all logistics are handled appropriately. This includes preparing meeting rooms, coordinating video conferencing setups, and following up with participants as needed.
  • Records & Database Management: Maintain contact lists, files, and records in an organized and accessible manner. You'll ensure all documentation is properly filed, updated, and readily available when needed.
  • Document Preparation: Prepare reports, presentations, and memos with a high level of accuracy and professionalism. You'll format documents according to arenaflex standards and ensure all materials are polished and presentation-ready.
  • Reporting Support: Assist in the preparation of regularly scheduled reports, gathering data from various sources and compiling information into comprehensive, easy-to-understand formats.
  • Office Supply Management: Order office supplies and maintain inventory, ensuring the office is well-stocked and operational needs are met. You'll track supply levels and anticipate needs proactively.
  • Cross-Functional Collaboration: Liaise with executive and senior administrative assistants to handle requests and queries from senior managers. You'll serve as a resource and backup support for other administrative team members.
  • General Administrative Support: Assist with various administrative tasks such as data entry, proofreading, and project coordination. This includes supporting special projects and initiatives as needed.

Essential Qualifications


  • Proven Administrative Experience: Demonstrated experience as an Administrative Assistant, Office Administrator, or similar role. Previous experience supporting executives or senior management is highly valued.

Compensation
