Position Overview

The Bilingual Remote Customer Service Representative serves as the first point of contact for patients seeking assistance. In this role, you will handle incoming telephone, digital, and written inquiries with professionalism, empathy, and efficiency. Your ability to communicate effectively in both English and Spanish will be essential in serving our diverse patient population.

Key Responsibilities

As a Bilingual Customer Service Representative at arenaflex, your daily responsibilities will include:


  • Answering incoming phone calls utilizing a multi-line telephone system with professionalism and efficiency

  • Ensuring accurate and timely processing of all requests by taking appropriate actions such as scheduling appointments, taking messages, and transferring calls to appropriate staff members

  • Maintaining thorough records by documenting discussions, messages, and actions taken to process inquiries in our computer-based systems

  • Resolving patient issues through independent problem-solving with a goal of achieving first-call resolution

  • Providing exceptional customer experiences by remaining calm, helpful, and empathetic, even when dealing with upset or frustrated callers

  • Fostering teamwork and partnerships with cross-functional departments to resolve issues and improve overall customer experience

  • Adhering to privacy and security regulations, including maintaining strict confidentiality of patient information in compliance with HIPAA guidelines

  • Participating in ongoing training and professional development to enhance skills and stay current with company policies and procedures

  • Contributing to a positive team environment by sharing insights, supporting colleagues, and maintaining a solution-oriented mindset

Essential Qualifications

To succeed in this role, candidates must meet the following requirements:


  • Bilingual proficiency in both English (read, write, and speak) and Spanish (speak fluently)

  • Reliable home setup including a cell phone and computer that meet our technical requirements

  • Minimum internet speed of 10 Mbps download and 1 Mbps upload (satellite internet is not permitted)

  • Experience in a highly customer service-oriented environment with a track record of delivering excellent service

  • Strong organizational skills with the ability to manage multiple tasks and priorities effectively

  • Excellent written and verbal communication skills in both English and Spanish

  • Ability to remain calm and helpful even when dealing with upset or distressed customers

  • Teamwork mindset with the ability to collaborate effectively with cross-functional departments

  • Proficiency with Microsoft Office applications including Microsoft Word, Excel, and Outlook

  • Availability to work full-time hours from Monday through Friday, 8:45 AM to 5:15 PM

Preferred Qualifications

While not required, the following qualifications will give you a competitive edge:


  • Experience in a medical office setting utilizing computer-based practice management software systems

  • High school diploma or equivalent education

  • Experience handling high call volume while multi-tasking and providing exceptional customer experiences

  • Familiarity with electronic medical records systems such as E-Clinical Works, Epic, Athena Health, or NextGen

  • Experience with Avaya telephony platform or similar call center systems

  • Knowledge of and strict adherence to HIPAA regulations and patient privacy requirements

  • Previous experience in healthcare customer service or a related field

Location and Schedule

This position is fully remote, allowing you to work from home. While the primary location is listed as Tampa, FL, we also have opportunities available in additional locations including Atlanta, GA, and San Antonio, TX. As long as you meet the technical requirements and are available during our core business hours, you can work from anywhere within the designated regions.
