We are currently seeking a dedicated and experienced Chat and Text Operations Supervisor to join our Crisis Chat and Text Services team. This is a fully remote position that offers the opportunity to make a meaningful difference in the lives of those experiencing crisis, while leading a team of passionate crisis chat and text counselors.
Position Overview
As a Chat and Text Operations Supervisor at arenaflex, you will play a critical role in ensuring the quality and effectiveness of our Crisis Chat and Text Services. You will be responsible for the oversight, guidance, and support of our crisis chat and text counselors, ensuring compliance with program standards, contracts, policies, procedures, and guidelines. This leadership position requires someone who is passionate about suicide prevention, crisis intervention, and team development.
Our crisis chat and text services provide vital support to individuals in crisis, and as a supervisor, you will be instrumental in maintaining the highest standards of care. You will work closely with program coordinators and on-call supervisors to ensure smooth service delivery, provide real-time support to counselors, and foster a positive and collaborative team environment.
Key Responsibilities
As a Chat and Text Operations Supervisor, your primary duties will include:
- Live Monitoring: Monitor chat and text queues in real-time, observing counselor adherence to policies and practices to ensure seamless and compassionate service delivery to all visitors.
- Performance Feedback: Observe, document, and report feedback in end-of-shift communications and to Program Coordinators regarding on-shift counselor performance, identifying areas of excellence and opportunities for improvement.
- Resource Support: Locate appropriate resources for crisis chat and text counselors while they are actively engaged with visitors, ensuring callers receive comprehensive support.
- Crisis Intervention Support: With support from the On-Call Supervisor, make determinations regarding mandated reports and coordinate emergency responses, including sending rescue to chat or text visitors when necessary.
- Technical Communication: Report platform issues and other technical difficulties to program leadership, acting as the primary communication link between frontline staff and leadership to ensure operational incidents and challenges are properly documented and escalated.
- Compliance Documentation: Ensure that employee concerns, clinical compliance requirements, and operational issues are properly documented, maintaining the highest standards of accountability and transparency.
- Debriefing Sessions: Initiate and facilitate debriefing sessions with crisis chat and text counselors after they have taken chats or texts, providing emotional support and professional development opportunities.
- Training Identification: Identify crisis chat and text counselor training needs and provide individualized support to help team members grow and excel in their roles.
- Performance Metrics: With support from Program Coordinators, monitor chat and text answer rates to ensure they remain at or above the 95% threshold, maintaining our commitment to accessibility and responsiveness.
- Meeting Participation: Attend routinely scheduled meetings as requested or required for the Suicide Prevention Center and arenaflex, contributing to continuous improvement initiatives.
- Team Environment: Foster a positive and supportive work environment that encourages collaboration, compassion, and excellence among all team members.
- Direct Service: Take chats and texts as needed to support program needs and ensure continuous coverage during high-volume periods.
- Outreach Activities: May participate in outreach and media-related activities to raise awareness about crisis services and mental health resources.
- Training Support: May participate in Suicide Prevention Center training activities, contributing to the development of new counselors and the advancement of best practices.
Schedule and Compensation
This is a fully remote position with a competitive compensation package:
- Hourly Rate: $28.00 per hour
- Overnight Differential: $5.00 per hour additional for overnight shifts
- Schedule: Sunday through Tuesday from 5:00 PM to 1:30 AM and Wednesday from 9:00 PM to 1:00 AM PST (totaling 30 hours per week)
- Training Requirement: This role requires a four-week, 40-hour per week training program at the start of employment to ensure you are fully prepared for success in this critical role.
Note: Our work schedules are subject to change as necessary to meet organizational and client needs. Reasonable notice will be provided to facilitate personal planning and work-life balance.
Position Requirements
Essential Qualifications
- Possession of a high school diploma or equivalent (required)
- Be 18 years of age or older
- High-speed internet with an active Ethernet connection (no WiFi allowed due to security requirements)
- A quiet and confidential workspace suitable for handling sensitive crisis situations
- Availability and flexibility to work daytime, evening, overnight, and weekend shifts as needed
- Demonstrated current knowledge of job-specific skills including volunteer supervision, crisis intervention, suicide prevention, crisis line procedures, and multicultural/socio-economic issues
- Basic supervisory skills sufficient to manage volunteer crisis chat and text counselors, enforcing policies and procedures while maintaining a supportive and nurturing environment
- Proficiency in using personal computers, including Microsoft Office Suite and crisis line software
- Ability to support the values and mission of arenaflex as related to employment
- Knowledge of and compliance with Agency policies and procedures, HIPAA regulations, DMH policies and documentation guidelines, and other state and federal regulations relating to emergency mental health services
- Strong verbal and written communication skills, with the ability to present ideas, information, and viewpoints clearly and professionally
- Excellent interpersonal skills with the ability to interact well with others and effectively communicate when conflicts arise
- Demonstrated commitment to team objectives and arenaflex philosophies
- Ability to adapt and remain flexible to changes in protocol and program needs
Preferred Qualifications
- Prior experience in crisis intervention or suicide prevention hotlines
- Previous supervisory experience in a mental health or social services setting
- Bachelor's degree in psychology, social work, counseling, or a related field
- Certification in crisis intervention or similar training
- Familiarity with electronic health records and crisis management software
- Bilingual or multilingual capabilities (especially Spanish or other commonly spoken languages in our service areas)
