What You'll Do: Key Responsibilities

As a Client Communications Specialist at arenaflex, you will be responsible for managing all incoming client inquiries through various chat and messaging platforms. Your role is critical in shaping the first impression that potential clients have of our agency, and your ability to communicate effectively will directly impact our business growth and reputation.

Core Duties Include:


  • Real-Time Client Engagement: Respond promptly and professionally to incoming chat inquiries from clients, agencies, photographers, and brands seeking modeling talent. You will manage multiple conversations simultaneously while maintaining accuracy and attentiveness.
  • Inquiry Management: Handle booking inquiries, availability requests, rate discussions, and general questions about our modeling roster. You'll gather necessary information from clients and route inquiries to the appropriate talent managers.
  • Model Representation: Serve as a professional ambassador for our models by providing detailed information about their portfolios, experience, special skills, and availability. Your knowledge of our talent pool will be essential in making successful matches.
  • Relationship Building: Cultivate positive relationships with repeat clients and new prospects through consistent, friendly, and knowledgeable communication. Your goal is to ensure every interaction leaves a lasting positive impression of arenaflex.
  • Documentation & Follow-Up: Maintain detailed records of all client interactions in our CRM system, including follow-up actions, client preferences, and booking outcomes. Thorough documentation ensures seamless hand-offs to our account management team.
  • Conflict Resolution: Address client concerns and issues professionally and efficiently, working to resolve problems while maintaining customer satisfaction and protecting the agency's reputation.
  • Collaboration: Work closely with our talent management, booking, and marketing teams to ensure alignment on model availability, promotional campaigns, and client expectations.
  • Market Awareness: Stay informed about industry trends, emerging modeling categories, and competitive landscape to provide informed recommendations to clients and enhance your professional expertise.

Essential Qualifications:


  • Excellent Written Communication: You must possess exceptional grammar, spelling, and writing skills in English. Clear, concise, and professional written communication is the cornerstone of this role.
