Role Overview: Join Our Team as a Remote Customer Service Representative

We are currently seeking a dedicated Customer Service Representative to provide comprehensive customer service support for our Review Team. This is a fully remote position that offers the flexibility to work from the comfort of your own home while maintaining a healthy work-life balance. In this critical role, you will interact with beneficiaries and healthcare providers via our helpline, assist with the creation and formatting of correspondence, and ensure the timely processing of complex appeals. This position requires a great deal of decision-making and problem-solving skills, as you will be handling various types of complex cases that directly impact individuals' access to healthcare services.

Key Responsibilities


As a Customer Service Representative at arenaflex, you will play a pivotal role in our mission to provide exceptional healthcare support. Your primary responsibilities will include:


  • Correspondence Management: Responsible for typing, merging, proofing for clarity, printing, and mailing all correspondence with meticulous attention to detail. You will ensure that all letters are sent in a timely manner with correct components included and thoroughly reviewed for grammatical and spacing errors.

  • Helpline Support: Answer the Beneficiary Helpline through the utilization of the hunt group and available light functions. You will determine how to best assist each caller, either by offering services provided by arenaflex or by referring them to an external agency, while properly entering all referrals into the CMS system.

  • Information Communication: Communicate verbally and in writing with external customers to furnish and request review information. You will serve as a professional liaison between arenaflex and healthcare providers, beneficiaries, and other stakeholders.

  • Relationship Building: Foster effective working relationships between arenaflex's internal and external customers. You will collaborate with team members and support team decisions while maintaining a customer-focused approach at all times.

  • Quality Improvement: Assist with and participate in the Review Team in identifying areas for potential improvement as noted on case reviews and processes. Your insights will help us continuously enhance our service delivery.

  • Documentation: Get and validate notices and all components of medical records. Ensure accuracy and completeness in all documentation processed through your role.

  • Appeals Processing: Provide intake for all appeals received by arenaflex. This includes handling complex appeals that require significant decision-making and attention to detail.

  • Quality Assurance: Utilize internal quality control tools to assess individual work and team processes. Maintain proficiency in customer service guidelines and standards.

  • Multi-tasking: Must be able to multi-task and prioritize assignments effectively while maintaining accuracy and meeting deadlines.

Essential Qualifications


To succeed in this role, you will need:


  • High school diploma or equivalent required.

  • Post-high school business courses are helpful and preferred.

  • Medical terminology knowledge is highly desired.

  • Minimum of two to three years of clerical experience including word processing, various filing systems, and telephone customer service responsibilities.

  • Prior work in a healthcare setting or medical terminology experience is strongly recommended.

  • Previous data entry or other clerical experience is a plus.
