Position Overview

We are currently seeking a dedicated and experienced Customer Service Representative to join our dynamic team. In this role, you will provide comprehensive customer service support for our Review Team, interacting with beneficiaries and healthcare providers via our helpline. You will be responsible for the creation, formatting, and proofreading of correspondence, ensuring timeliness and accuracy in all communications. This position requires a significant degree of decision-making regarding various types of complex appeals, making it an ideal opportunity for individuals who thrive in challenging, fast-paced environments.

Key Responsibilities

As a Customer Service Representative at arenaflex, you will play a critical role in ensuring that our beneficiaries and providers receive the highest quality of service. Your primary responsibilities will include:


  • Correspondence Management: Responsible for typing, merging, proofing for clarity, printing, and mailing correspondence to ensure all communications are professional, accurate, and delivered in a timely manner.

  • Customer Communication: Communicate verbally and in writing with external customers to furnish and request review information, maintaining a courteous and professional demeanor at all times.

  • Relationship Building: Foster effective working relationships between arenaflex's internal and external customers, serving as a trusted point of contact for inquiries and concerns.

  • Continuous Improvement: Assist with and participate in the Review Team in identifying areas for potential improvement, as noted on case reviews and process evaluations.

  • Helpline Support: Answer the Beneficiary Helpline through the utilization of the hunt group and available phone functions. Determine how to best assist callers either by a service offered by arenaflex or by referring them to an external agency, properly entering referrals into the CMS system.

  • Quality Assurance: Ensure all letters are sent out in a timely manner with correct components included, reviewing all correspondence for grammatical and spacing errors before distribution.

  • Documentation: Obtain and validate notices and all components of medical records to ensure accuracy and completeness of all case files.

  • Appeals Processing: Provide intake for all appeals received by arenaflex, ensuring proper documentation and follow-up procedures are followed.

  • Compliance: Maintain proficiency in customer service guidelines and standards, adhering to all regulatory and organizational requirements.

  • Quality Monitoring: Utilize internal quality control tools to assess individual work and team processes, identifying areas for improvement and implementing best practices.

Qualifications & Requirements

Education and Training


  • High school diploma or equivalent required.

  • Post-high school business courses are helpful but not required.

  • Medical terminology knowledge is desired and considered a plus.

Essential Skills and Competencies


  • Communication Skills: Excellent verbal communication skills with a courteous and patient demeanor. Must be customer-oriented and have the ability to maintain composure under potentially stressful situations.

  • Written Communication: Strong grammar, punctuation, spelling, hyphenation, and written communications skills are essential for this role.

  • Customer Focus: Must be customer-focused, results-oriented, and capable of building and maintaining relationships with both internal and external customers.

  • Teamwork: Must be flexible and able to work as a team member, supporting team decisions and collaborating effectively with colleagues.

  • Technical Proficiency: General knowledge of PC-based computer systems is desirable. Knowledge of various software packages with the ability to learn additional software packages as needed.

  • Multitasking: Must be able to multitask and prioritize assignments effectively in a fast-paced environment.

  • Organizational Skills: Strong organizational skills with the ability to work independently and manage time efficiently.

Experience Requirements


  • Two to three years of clerical experience, including word processing, various filing systems, and telephone customer service responsibilities.

  • Prior work in a healthcare setting or medical terminology experience is recommended.

  • Previous data entry or other clerical experience is a plus.
