Position Overview

Are you organized, detail-oriented, and passionate about supporting community services? In this crucial role, you will serve as the backbone of our Energy Services Programs, maintaining organized and up-to-date digital files that support the day-to-day operations of our team and ensure our clients receive the services they need.

As a Data Entry Specialist at arenaflex, you will be responsible for accurately输入ting and maintaining client status records in our Statewide Client Service Center, ensuring the production pipeline remains current and reflects real-time client information. Your meticulous attention to detail will help our program staff deliver efficient, effective services to families throughout our community. This position offers the flexibility of remote work while remaining an integral part of our collaborative team.

Key Responsibilities

As an essential member of the arenaflex Energy Services team, you will be responsible for the following duties:


  • Client Records Management: Input and maintain updated client status records in the Statewide Client Service Center, accurately reflecting the current production pipeline and ensuring all information is current and precise.

  • Communication Monitoring: Monitor emails and incoming communications, logging documents and correspondence in the Monday.com platform promptly upon receipt to ensure seamless information flow.

  • Database Management: Follow program guidelines for the use of all required database systems, including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, In Demand, and other platforms as needed.

  • File Organization: Maintain organized digital and paper participant files in strict accordance with program guidelines, ensuring full compliance with agency and funder requirements.

  • Team Collaboration: Collaborate effectively with program staff to support, enhance, and promote communication and consistency in the delivery of services to our clients.

  • General Administrative Support: Assist with various clerical duties, including filing, mailings, phone coverage, and other office tasks as needed.

  • Remote Work Availability: Maintain availability for remote work, including attending virtual meetings, responding to emails promptly, and conducting regular duties as needed to meet program requirements.

  • Professional Development: Attend all required staff meetings, supervision sessions, training programs, and contractual meetings to stay current with program developments and organizational policies.

  • Training Participation: Participate in mandatory agency training and engage in other relevant professional development activities to enhance your skills and knowledge.

  • Confidentiality: Ensure strict confidentiality is maintained in all aspects of the role, protecting sensitive client information and adhering to privacy regulations.

  • Additional Duties: Perform related work as required to support the successful operation of Energy Services Programs.

Required Qualifications and Skills

We are seeking candidates who possess the following qualifications:


  • Education: Associate degree or equivalent professional experience in a related field.

  • Experience: Two years of experience in Human Services or a related field, OR applicable work experience working with diverse individuals and families with low incomes.

  • Substitution Options: Additional appropriate education may be substituted for experience, and additional directly related experience may be substituted for education on a case-by-case basis.

  • Language Skills: Bilingual in Spanish and English preferred, as this will enable you to serve a broader range of clients in our diverse community.

  • Technical Proficiency: Strong computer skills and familiarity with database management systems.

  • Communication Skills: Excellent written and verbal communication abilities.

  • Organizational Skills: Strong attention to detail and ability to maintain organized records.

Preferred Qualifications

While the following qualifications are not required, they would be considered a strong asset:


  • Previous experience working in non-profit or human services organizations

  • Familiarity with state or federal assistance programs such as LIHEAP or weatherization services

  • Experience with CRM systems and client management software

  • Knowledge of Massachusetts community resources and social services

  • Previous remote work experience with strong self-management skills
