Executive Assistant / Project Manager for Small Digital Agency

KEY RESPONSIBILITIES:

Administrative & Organizational Support Provide day-to-day administrative support across

multiple client accounts and internal teams, managing tasks, timelines, and communications with a

high degree of organization and attention to detail. Serve as a reliable point of contact for routing

support requests to the appropriate team members and keeping projects moving forward.

Project & Workflow Coordination Monitor incoming support requests and tickets, triaging and

delegating to the right individuals across the organization. Use project management tools

(Monday.com, Freshdesk) to track progress, prioritize tasks, and ensure nothing falls through the

cracks.

Website Content Management Execute updates and edits to client websites using our CMS

(Webflow), coordinating closely with web developers and designers to ensure changes are accurate,

on-brand, and delivered on time. Familiarity with basic web concepts such as responsiveness, image

optimization, and site structure is a plus.

Marketing Performance Reporting Support the team in preparing and delivering marketing

performance updates to clients, pulling data from a variety of different tools. We will train you.

Google Business Profile & Reputation Management Manage and maintain accurate, up-to-date

Google Business Profiles for clients. Administer and update client profiles within our Reputation

Management Platform, ensuring data integrity and timely responses to profile-related needs.

Cross-Functional Collaboration Work alongside web developers, UI/UX designers, SEO

strategists, and PPC specialists, acting as a connective thread between disciplines. Comfortable

wearing multiple hats and shifting priorities as the needs of the business and clients evolve.

Relevant Work Experience:

2 Years as an administrative assistant, marketing coordinator, project manager, or similar

Qualifications:

● Available 9 - 5 EST, Monday-Friday. This is a full-time position.

● High-speed Internet

● Professional Zoom Presence

● Communicative via Slack

● Tech-Savvy / Ability to pick up and learn new programs quickly

● Ability to work effectively within a team, yet able to take initiative and work individually

● Highly organized / task master

● Self-starter with a strong work ethic and willingness to learn
