Position Overview
Are you a detail-oriented professional with exceptional organizational skills and a passion for supporting educational initiatives? arenaflex is seeking a dedicated Continuing Legal Education Data Entry Clerk (DEC) to join our dynamic team for a temporary, full-time position supporting our 2024 Connecticut Legal Conference (2024 CLC).
This pivotal role operates under the direction and guidance of the Director of Continuing Legal Education & Section Programming. The DEC will be responsible for processing critical documents necessary for educational programs at the 2024 CLC – our flagship annual event that brings together hundreds of legal professionals from across Connecticut.
The position offers a competitive hourly wage of $19-21 per hour and requires a commitment of 35 hours per week as a non-exempt, full-time temporary employee. What You'll Do
As a Continuing Legal Education Data Entry Clerk at arenaflex, your responsibilities will span the entire lifecycle of our annual conference, from preparation through post-event follow-up. Here's what you can expect:
Pre-Conference Preparation
- Prepare and coordinate all necessary documents for each seminar scheduled at the 2024 CLC
- Assist with comprehensive preparation activities leading up to the conference
- Review and organize seminar materials, attendance sheets, and evaluation forms
- Coordinate with presenters, moderators, and organizers to ensure smooth seminar operations
- Set up databases and tracking systems for credit attribution
Conference Support
- Assist with venue setup for all seminars and educational sessions
- Staff seminars throughout the conference to ensure proper documentation and credit tracking
- Manage seminar logistics, including room setup, AV equipment, and materials distribution
- Break down seminars and sessions following each presentation
- Serve as a knowledgeable point of contact for attendees, presenters, and event staff
- Maintain composure and provide excellent service during high-pressure situations
Post-Conference Operations
- Organize and catalog all scanned documents from the 2024 CLC, including attendance records and post-seminar surveys
- Input and verify data in databases to accurately attribute continuing legal education credits for seminar attendees
- Process credit documentation and ensure compliance with CLE requirements
- Prepare personalized thank you letters to speakers, organizers, and moderators
- Compile and send survey results to appropriate parties via email
- Perform database updates and maintenance as needed
- Complete any additional duties as assigned by the Director or other departments
What We're Looking For
Required Qualifications
To succeed in this role, you'll need:
- 1-3 years of experience in working with spreadsheets, document management, or other office organizational skills
- Strong computer skills with proficiency in Microsoft Office programs, including Outlook, Word, Excel, PowerPoint, and SharePoint
- Experience working with various databases and data management systems
- Strong interpersonal skills with the ability to engage and connect with diverse groups and individuals, including attorneys, legal professionals, and organizational leadership
- Excellent organizational skills with exceptional attention to detail
- Well-developed prioritization skills to manage multiple tasks effectively
- Ability to quickly switch between tasks and adapt to changing priorities
- Remain calm, kind, and professional in stressful situations – especially during the high-intensity conference period
- Physical capability to lift up to 50 pounds as needed for event setup and materials management
- Ability to work long hours (12+ hours per day) during the 2024 CLC event period
Preferred Qualifications
- Proficiency working with databases and event production software
- Previous experience in legal or educational event coordination
- Familiarity with continuing legal education (CLE) processes and requirements
- Experience in non-profit or professional association environments
Physical Demands
This position requires physical engagement in a professional event setting. You should be capable of:
- Sitting, standing, and walking for extended periods
- Bending, reaching up, and stooping as needed
- Lifting and carrying items occasionally in excess of fifty (50) pounds
- Operating standard office machines with manual dexterity
- Moving between different areas of the conference venue throughout the event
