We are currently seeking an experienced Retirement Benefits Administrator to join our Economic Benefits team and help us continue to deliver world-class retirement planning support to our associates nationwide.

About the Role: Retirement Benefits Administrator

As a key member of our Economic Benefits team, you will play a pivotal role in administering retirement plans that help our associates improve their financial well-being and achieve their long-term economic goals. This position offers the unique opportunity to work remotely while collaborating with cross-functional teams across the organization.

In this role, you will be responsible for the daily administration of our 401(k) plan and other retirement savings vehicles. You will work closely with the team to identify opportunities to enhance and improve our plans, streamline processes, and help our associates effectively understand and engage with their financial benefits.   • Retirement Plan Expertise: Knowledge of 401(k) plans or other retirement plans is required. Familiarity with ERISA regulations and retirement plan administration will be highly valued.

  • Technical Proficiency: Comfort with benefits administration systems, Microsoft Office Suite, and the ability to learn new software platforms quickly.

What You'll Do at arenaflex

As a Retirement Benefits Administrator at arenaflex, your responsibilities will span multiple areas of benefits management and compliance:

Compliance Management



  • Work with senior leadership and legal counsel to ensure accurate processes are in place to maintain compliance with 401(k) related regulations

  • Research pending legislation and changes to laws affecting retirement plans

  • Manage enrollment requests within allocated time frames

  • Develop, organize, and facilitate process training to ensure procedures remain compliant

  • Participate with internal and external stakeholders to roll out and communicate community procedures, communication materials, and resources

  • Support with escalated calls related to appeals cases

  • Write and respond to service inquiries from customers

  • Develop, monitor, and report outcomes to management

Third-Party Administrator Management



  • Research and benchmark new Third-Party Administrators (TPAs) and business partners

  • Provide analytical support and recommendations to senior management for plan design decisions

  • Conduct on-site visits and audits

  • Work with TPA contacts to ensure service and financial goals are met according to contractual agreements

  • Maintain open lines of communication with TPAs

  • Translate requirements to ensure proper interpretation and benefits administration

  • Provide training and education to TPAs

  • Review and approve third-party and supplemental plan communications

  • Review and recommend improvements to multiple benefits systems

Eligibility Management



  • Manage electronic eligibility files and discrepancies for all benefits plans

  • Ensure plans are administered in compliance with federal, state, and local laws and regulations

  • Research and interpret new and changing regulations

  • Determine needed system and process solutions to conform with new requirements

  • Resolve identified issues based on file information

  • Collaborate with providers to make needed adjustments

  • Create and implement necessary reporting and controls around business processes to ensure accuracy and compliance

Plan Design & Project Management



  • Manage plan design change projects for benefits systems

  • Analyze project needs and interpret file design requirements

  • Evaluate requirements against existing systems

  • Translate file requirements to ensure proper business procedures and benefits management

  • Evaluate modern system barriers and determine needed machine changes

  • Identify potential effects of changes to system processes

  • Participate with information systems division to determine the best solution while maintaining compliance

  • Influence and negotiate with carriers to accommodate file connectivity

  • Provide guidance to new companies regarding requirements for system connectivity

  • Manage eligibility record programming among multiple vendors

  • Resolve complex problems which impact internal teams and external partners

  • Develop project plans and lead business customers through the project management system

  • Create communication plans to announce project processes to leadership and stakeholders

  • Manage the approval process for project parameter changes
