Position Overview
As an Insurance Data Entry Specialist at arenaflex, you will play a vital role in our client's insurance operations. Your primary responsibility will be to review source documents and accurately enter data into our proprietary software systems to issue insurance transactions. This position requires someone who can maintain a high level of accuracy while managing multiple tasks efficiently.
The ideal candidate will have excellent attention to detail, strong communication skills, and the ability to work both independently and as part of a team. You'll be working with various internal partners and will be responsible for ensuring all policy documentation is complete, accurate, and compliant with company policies.
This is a hybrid position based in Phoenix, AZ. New team members will begin with an in-office period for the first two weeks to complete IT setup and training, after which the schedule will transition to a hybrid model—3 days in the office and 2 days working from home. This arrangement offers flexibility while maintaining the collaborative environment that makes our team successful.
Key Responsibilities
As an integral member of the arenaflex team, you will be responsible for the following duties:
- Document Review and Data Entry: Carefully review source documents including Acord applications, emails, and Excel spreadsheets to accurately enter data into our proprietary software systems for issuing insurance transactions.
- Data Verification and Quality Control: Compile, sort, and verify the accuracy of all data before entry. Locate and correct any data entry errors to maintain the highest quality standards.
- Policy Documentation: Ensure all policy documentation is complete, accurate, and fully complies with company policies and regulatory requirements.
- Communication: Contact and communicate with internal partners via phone, email, Microsoft Teams, or in person as needed to gather information, resolve discrepancies, and ensure smooth processing.
- Ancillary Group Functions: For those assigned to the Ancillary Group, responsibilities may include processing Loss Runs, handling Declinations and Close Outs, managing Renewal Conversions, and preparing Renewal documentation.
- Time Management: Effectively multi-task, prioritize assignments, and manage time to meet deadlines and maintain service levels.
- Continuous Improvement: Identify process improvements and suggest solutions to enhance efficiency and accuracy.
Essential Qualifications
To succeed in this role at arenaflex, candidates must meet the following requirements:
- Education: High school diploma or GED required.
- Experience: 0-3 years of related business experience preferred. We welcome both experienced professionals and motivated newcomers who are eager to learn.
- Technical Skills: Must be computer savvy with the ability to navigate multiple screens efficiently. Proficiency in Microsoft Word, Outlook, and Excel is required, including skills in column sorting and cell formatting.
- Communication Skills: Strong verbal and written communication skills are essential for effective collaboration with internal partners.
- Attention to Detail: Exceptional attention to detail with the ability to identify and correct errors before they become issues.
- Organizational Skills: Ability to multi-task, prioritize effectively, and manage time in a fast-paced environment.
- Team Player: Must be able to work independently as well as collaborate effectively with team members.
- Critical Thinking: Ability to analyze information, solve problems, and make sound decisions.
- Remote Work Readiness: Comfortable working within a remote environment while maintaining productivity and communication.
- Platform Knowledge: Familiarity with WebEx is a plus.

Work Schedule and Compensation
We understand that work-life balance is essential. That's why we offer flexible scheduling to accommodate our team members' needs:
- Work Hours: Start times range between 7:00 AM and 9:00 AM, with end times between 3:30 PM and 5:30 PM. The specific schedule will be determined based on training requirements and business needs, with details discussed at the time of offer.
