Position Overview

As a Receptionist and Data Entry Clerk at arenaflex, you will play a crucial role in ensuring the smooth and efficient operation of our Front Office and Customer Service department. You will be the first point of contact for our customers, both internally and externally, setting the tone for their entire experience with our company. Your excellent interpersonal skills, attention to detail, and ability to multitask will be essential in delivering the stellar service that defines the arenaflex brand.

This is a full-time, non-exempt position working Monday through Friday from 6:30 AM to 3:00 PM. You will report directly to the Assistant Customer Service Manager and become an integral part of a team that values professionalism, teamwork, and a positive attitude.

Key Responsibilities

Your primary duties will include, but are not limited to:


  • Phone and Visitor Reception: Answer incoming phone calls in a professional and courteous manner, routing them to the appropriate ACD group or individual. Greet visitors with warmth and ensure they feel welcome and valued.

  • Email Management: Efficiently route incoming emails in our Zendesk system to the appropriate groups or team members. Respond directly to customer inquiries where appropriate, maintaining our reputation for responsive service.

  • Data Entry Excellence: Enter orders directly into our order database with precision and accuracy. Add new customers to our database and edit existing customer information as needed.

  • Mail Processing: Sort incoming mail and distribute it to the appropriate recipients. Prepare outgoing mail with proper postage and ensure timely dispatch.

  • Financial Support: Assist with looking up customer accounts and entering payment information for checks received in the mail. Prepare invoices for mailing as needed.

  • Cross-Functional Collaboration: Assist members of other departments as needed, demonstrating flexibility and a team-first attitude.

  • General Clerical Duties: Perform various clerical tasks to support the smooth operation of the Front Office.

  • Team Communication: Participate actively in daily operations, communicating pertinent information to team members and contributing to a collaborative work environment.

  • Reliability: Maintain regular and punctual attendance in accordance with scheduled work hours, understanding the critical importance of coverage in a front-facing role.

Required Skills and Competencies

To succeed in this role, you must possess:


  • Exceptional Interpersonal Skills: You must communicate professionally and courteously with customers, colleagues, and stakeholders at all levels—both in person and over the telephone.

  • Strong Attention to Detail: Data entry requires precision. You must maintain accuracy even when handling high volumes of information.

  • Effective Problem-Solving Abilities: Be prepared to handle unexpected situations calmly and find solutions that satisfy customers while adhering to company policies.

  • Technical Proficiency: Working knowledge of Microsoft Word, Excel, Google Docs, Gmail, and Google Calendar is essential. Familiarity with computer-based phone systems (Zoom, Shoretel, Vonage) and instant messaging platforms (Slack, Microsoft Teams) is highly valued.

  • Typing Speed: Ability to type at least 40 words per minute by touch is required for efficient data entry.

  • Customer Service Orientation: A genuine desire to provide stellar service to both internal and external customers is crucial. You should be comfortable speaking on the telephone for extended periods (7-8 hours per day, 5 days per week).

  • Organizational Skills: Must be able to handle a wide variety of tasks, prioritize effectively, and respond to interruptions mid-task while maintaining accuracy and efficiency.

Education and Experience Requirements


  • High school diploma or General Education Degree (GED) required

  • At least two years of related experience and/or training, OR an equivalent combination of education and experience

  • Education or experience must include general accounting topics such as accounts receivable and accounts payable

  • At least one year of general computer experience, including spreadsheet use and word processing

  • Ability to type at least 40 words per minute by touch

Language and Mathematical Skills

You should have the ability to read and comprehend simple instructions, short correspondence, and memos. Strong written communication skills are needed to write simple correspondence. You must be able to effectively present information in one-on-one and small group situations to customers, clients, and other employees.

Mathematical proficiency is essential, including the ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. You should also be able to compute rate, ratio, and percent.

Reasoning Abilities

The ideal candidate will possess the ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. You should be capable of dealing with and solving problems involving a few concrete variables in standardized situations.

Physical Demands

This role involves regular sitting or standing, using hands to finger, handle, or feel objects, and talking and hearing. Occasionally, you will be required to stand, walk, and reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required include close vision, depth perception, and the ability to adjust focus.
