Position Overview

As a Remote Customer Service Representative at arenaflex, you will serve as the first point of contact for prospective renters and current residents. Your primary responsibility is to deliver exceptional customer experiences through various communication channels, including phone calls, emails, text messages, and in-person interactions at our leasing offices. This role requires a unique blend of organizational skills, technical proficiency, and genuine hospitality.

You'll be instrumental in guiding potential residents through the leasing process, answering their questions, addressing their concerns, and helping them find the perfect apartment that meets their needs and preferences.   • Phone Support Excellence: Answer incoming calls promptly and professionally. Assist callers with inquiries about availability, pricing, tours, and application processes. Handle routine requests and escalate complex issues appropriately while maintaining a positive demeanor.
  • Appointment and Tour Coordination: Schedule property tours and appointment reservations according to availability and customer preferences. Manage the calendar effectively to maximize occupancy and minimize wait times. Send reminders and confirmations to ensure attendance.
  • Inventory and Availability Tracking: Assist with maintaining accurate records of available units, including current availability, upcoming vacancies, and unit specifications. Provide real-time information to prospective renters based on their specific requirements.
  • Documentation and Reporting: Complete daily reports, logs, and documentation as required. Maintain accurate records of all interactions, inquiries, and transactions in our property management systems.
  • Maintenance Coordination: Initiate service calls for residents experiencing maintenance issues. Communicate with maintenance teams to ensure timely resolution of resident concerns. Follow up to confirm satisfaction and closure of service requests.
  • Lease Administration: Initiate, modify, and finalize leases and lease addendums for new and existing residents. Ensure all documentation is accurate, complete, and compliant with company policies and legal requirements.
  • Vendor and Procurement Management: Assist with scheduling external vendors for property services, repairs, and maintenance. Participate in purchase order management to ensure efficient operational workflows.
