Position Overview

As a Remote Customer Service Representative at arenaflex, you will be responsible for ensuring customer satisfaction by providing our valued clients with courteous, professional, and efficient service at all times. You will generate outbound calls to specific low-volume accounts to provide excellent service and communication to accounts not currently called on by our field sales associates. This role is essential in maintaining strong customer relationships, resolving issues promptly, and contributing to the overall success of our pharmaceutical distribution operations.

Work Schedule & Location

This is a full-time, remote position with the following schedule:


  • Shift: Monday to Friday, 9:00 AM to 5:30 PM CST / 10:00 AM to 6:30 PM EST

  • Start Date: Monday, April 11th

  • Location: Remote – Applicants must be located in Illinois (IL), Texas (TX), or Florida (FL)

Primary Duties and Responsibilities

As a Customer Service Representative at arenaflex, you will play a vital role in our customer success operations. Your primary responsibilities will include:


  • Proactive Account Management: Initiate monthly service calls to a specific number of low-volume accounts within your assigned local geographic area. Build strong relationships with these accounts to ensure they receive the attention and support they need.
  • Customer Education and Updates: Keep existing customers informed about new programs, promotional activities, products, and services. Actively inquire about any current issues or unresolved problems and work diligently to address them.
  • Issue Resolution: Assist customers with various problems including missed shipments, price adjustments, and backorders. Continually strive for prompt and satisfactory resolution to maintain high customer satisfaction levels.
  • Cross-Functional Collaboration: Work frequently with field sales associates to coordinate special orders, accept quotations, and handle manufacturer communications. Collaborate with warehouse associates, customers, and field sales associates to ensure smooth order processing.
  • Order Processing: Process all phone, fax, mail, email, and verbal orders from customers accurately and efficiently. Ensure each order is entered correctly into our system.
  • Customer Inquiries: Provide accurate answers to questions and complaints regarding products and services. If unable to provide immediate assistance, escalate customers to the Customer Service Supervisor in a courteous and professional manner.
  • Data Entry and Research: Perform data entry for purposes such as processing orders, accessing previous orders and special orders, and providing customers with current prices. Research any other inquiries as requested.
  • Backorder Management: Assist customers with backorders by offering substitutions and alternatives whenever possible. Contact manufacturers for delivery information, changes in stock numbers, prices, and availability. Maintain current open order reports.
  • Internal Communication: Communicate effectively with all departments within the Distribution Center as well as field sales associates. Serve as a liaison between customers and field sales associates.
  • Continuous Improvement: Make suggestions and recommendations to your Supervisor in an effort to continually improve customer service operations and enhance the customer experience.
  • Compliance: Comply with all appropriate policies, procedures, safety rules, and regulations. Maintain confidentiality and data security standards.
  • Additional Duties: Perform related duties as assigned by your supervisor.

Minimum Qualifications

arenaflex seeks candidates who bring a combination of education, skills, and experience to this role. The ideal candidate will have:


  • Education: Requires broad training in fields such as business administration, accountancy, sales, marketing, computer sciences, or similar vocations generally obtained through completion of a four-year Bachelor's Degree program, technical vocational training, or an equivalent combination of experience and education.
  • Experience: Normally requires less than one (1) year of directly related experience. However, we encourage candidates with varying levels of experience to apply, as we provide comprehensive training to help you succeed.

  • Product Knowledge: Familiarity with pharmaceutical products, services, and distribution operations. (Comprehensive training will be provided.)
  • Organization: Strong organizational skills with exceptional attention to detail.
  • Technical Proficiency: Basic knowledge of Microsoft Word, Excel, and inventory management systems.

Preferred Qualifications

While not required, the following qualifications would be advantageous:


  • Previous experience in customer service within the pharmaceutical or healthcare industry

  • Familiarity with pharmacy operations or medical distribution

  • Experience with CRM software and order management systems

  • Knowledge of healthcare regulations and compliance requirements

  • Bilingual capabilities (Spanish is a plus)
