As a Remote Data Entry Coordinator, you will support our prescriber assessment process and contribute to ensuring compliance with controlled substance regulations and good faith dispensing policies. This role is vital to maintaining the integrity of our pharmacy operations and protecting patient safety across all our locations.

What You Will Do

As a Remote Data Entry Coordinator at arenaflex, you will be responsible for supporting the prescriber assessment process and ensuring compliance with various healthcare regulations. Your primary duties will include:


  • Prescriber Evaluation Support: Reviews and organizes Prescriber Evaluation Referral Forms (PERF), gathers internal and external prescribing data, and coordinates prescriber and patient mailings within specific time frames to ensure timely processing and compliance.

  • Communication Management: Creates and enables the release of COMPASS and RHM communications, generating ad hoc reports for the prescriber assessment team and assisting in presentations to the Integrity and Patient Safety teams.

  • Controlled Substance Monitoring: Researches and analyzes controlled substance orders placed manually at the store level. Determines if orders are suspicious based on ordering patterns and circumstances, and takes appropriate actions to educate personnel on proper ordering procedures.

  • Regulatory Reporting: Generates reports and provides data to DEA agents on store dispensing patterns, and prescriber or patient profiles within a forty-eight-hour window. Builds ad hoc queries to pull data outside of regular reporting requirements.

  • Policy Support: Maintains up-to-date knowledge about issues including controlled substance ordering processes, Good Faith Dispensing (GFD) policies, and DEA licensing requirements. Assists stores and field supervision with questions through email and contact on various related topics.

  • Audit Assistance: Assists analysts in developing and reviewing store audits for controlled substance losses. Collaborates with Pharmacy Managers and Supervisors to ensure that losses are reported within the required time frame and with 100% accuracy.

  • Prescriber Management: Manages prescriber fee ticket decision system. Validates and updates prescriber data. Collaborates with Pharmacists to ensure that any prescription blocking is valid.

  • Allocation Decisions: Researches and analyzes requests for increases to controlled substance allocations. Makes informed decisions based on collaboration with Pharmacy Managers, Supervisors, and object vendors. Mitigates risk to the organization by ensuring that due diligence is completed and documented.

  • Policy Implementation: Assists in the implementation and updating of the Good Faith Dispensing and Target Drug Good Faith Dispensing policies to ensure compliance with current regulations.

  • Technical Support: Utilizes advanced skills in Excel and PowerPoint and the ability to query databases to support analysts in the creation of presentations and training for store staff and supervision.

Required Qualifications

To be successful in this role, you must meet the following requirements:


  • Education: High School Diploma or GED is required.

  • Experience: Minimum of three years of experience as a pharmacy technician in a retail or clinical pharmacy setting.

  • Certification: Required certification as a Certified Pharmacy Technician (CPhT) granted by the Pharmacy Technician Certification Board (PTCB).

  • Regulatory Knowledge: Experience with prescriber licensing requirements, including NPI (National Provider Identifier), DEA registration, and state licenses.

  • Technical Skills: Intermediate level capabilities in Microsoft Office applications, particularly Excel, Word, and PowerPoint.

  • Database Experience: Experience with querying databases to extract and analyze data for reporting purposes.

  • Analytical Abilities: Experience with reading and reporting data to identify issues, trends, or exceptions to drive the improvement of outcomes and find solutions.

  • Communication Skills: Experience communicating effectively in written and verbal formats as appropriate for the needs of the audience.

Preferred Qualifications

While not required, the following qualifications will help you stand out:


  • Experience with internal arenaflex systems including SIMS and IC.

  • Experience with controlled substance ordering processes within arenaflex, including PDQ's, RxQuick Order, and Passport systems.

  • Previous experience in a compliance or regulatory role within the pharmaceutical industry.

  • Familiarity with state pharmacy board regulations and federal controlled substance laws.
