Position Overview
The Data Entry Representative - Electronic Health Record (EHR) File Technician serves as an integral member of our multi-disciplinary team, functioning under the direction and supervision of a dedicated Supervisor. This role is fundamental to ensuring that complex health information, including but not limited to clinical records, is accurately placed within the correct patient EHR within identified timeframes. Your meticulous attention to detail will directly impact the continuity and quality of patient care, making you an essential part of the healthcare delivery chain.
In this role, you will provide professional, courteous, and friendly assistance to both internal and external customers while serving as a knowledgeable resource. You will utilize established arenaflex policies, protocols, and guidelines to ensure delivery of quality care within the framework of our Standard Operating Procedures. Key Responsibilities
As a Data Entry Representative at arenaflex, you will be entrusted with the following essential functions:
- Accurate Health Information Placement: Ensure precise placement of complex health information, including clinical records, diagnostic reports, and therapeutic documentation, within the correct patient Electronic Health Record. This responsibility is critical as it directly impacts the availability of current patient information for healthcare providers.
- Document Filing Excellence: File documents accurately in the EHR according to approved filing structure, demonstrating adaptability to changes in processes while consistently meeting quality standards of 98% accuracy or higher.
- Quality Assurance Achievement: Maintain the ability to reach and sustain an 85% to 100% quality assurance trust level in the current EHR system, ensuring precision in all aspects of data entry and management.
- Productivity Standards: Achieve precise filing at a rate of 55 pages per hour while maintaining accuracy and quality standards.
- Independent Problem-Solving: Prioritize daily work effectively, including problem-solving and decision-making, with minimal direct supervision. Manage own time and work independently while understanding and following through with minimal direction from supervisors, clinicians, colleagues, and peers.
- Patient Information Research: Research patient information in computer systems to determine location of care, Medical Record Number, Medical Identification Number, medical terminology, and other critical identifiers.
- Autonomous Decision-Making: Evaluate issues and make decisions autonomously for less complex issues while seeking guidance from supervisors for complex issue resolution.
- Quality Control Activities: Perform quality assurance activities to ensure accuracy of filing and data integrity across all handled records.
- Provider Communication: Appropriately task providers for review of scanned documents per accepted protocol, ensuring timely follow-up and resolution.
- Customer Service Excellence: Demonstrate a positive customer service approach in all internal and external customer experiences, representing arenaflex with professionalism and warmth.
- Continuous Improvement: Identify opportunities for self-development and understand expectations of developing additional competencies within the role.

Essential Qualifications
To succeed in this role, candidates must meet the following minimum requirements:
- Education: High School diploma or GED required
- Medical Knowledge: General understanding of medical terminology, including knowledge of diagnostic and therapeutic studies and tests, specialty names, and common healthcare terminology used in clinical documentation.
- Experience: A minimum of one year of customer service experience in a healthcare setting is required. This experience should demonstrate the ability to interact professionally with patients, healthcare providers, and internal team members.
- Technical Skills: Strong PC skills are required, including proficiency in standard office software and the ability to quickly learn new computer systems.
- EHR Experience: Previous Electronic Health Record (EHR) experience is required. Experience with Hyland OnBase Unity Client is highly preferred and will be considered a significant asset.
