About the Global Merchant Services Division
The Global Merchant and Network Pricing (GMNP) team at arenaflex is responsible for the single largest source of revenue: Merchant Discount Income. This dynamic team utilizes Merchant Pricing to promote acceptance and grow coverage, to increase merchant satisfaction, and to drive Global Merchant Network Services (GMNS) revenue and profit growth. As an Executive Assistant reporting to the Vice President of Global Merchant Pricing - Americas, and supporting VP of NCG/RCCG/MA&SE, you will play a critical role in ensuring the operational excellence of this vital business unit.

What You'll Do: Key Responsibilities
As an Executive Assistant at arenaflex, you will be the cornerstone of administrative excellence for our executive leadership team. Your contributions will be fundamental to the smooth operation of the Global Merchant Pricing division. Here's what you can expect:
- Calendar Mastery: Orchestrate, confirm, and proactively manage detailed schedules, handling all aspects of complex senior-level meetings and related logistics. You'll coordinate across multiple time zones and ensure every meeting is perfectly prepared.
- Communication Hub: Place, receive, and manage a high volume of calls and messages, acting as a professional first point of contact for executives and stakeholders at all levels.
- Travel Coordination Expert: Schedule and direct high volume of complex international and domestic travel including flights, hotels, and ground transportation; coordinate essential passport/visa documentation. You'll ensure our executives travel seamlessly anywhere in the world.
- Document Management: Perform general tasks including, but not limited to, drafting correspondence, file organization, researching requested information, filing, and preparing pre-meeting review materials.
- Financial Administration: Prepare travel and expense reports on a timely basis, ensuring accuracy and compliance with company policies.
- Confidentiality Champion: Exercise discretion in handling highly sensitive and confidential information, maintaining the highest standards of professional judgment.
- Internal Communications: Develop and execute employee communications, including but not limited to, planning of Town Halls, executive updates, and conference calls.
- Project Support: Other related tasks and duties as assigned, contributing to the overall success of the executive team.

Essential Qualifications

- Bilingual with the ability to communicate in Spanish (Preferred) – fluency in both English and Spanish will be a significant advantage in our diverse global environment.

- Excellent communicator with the ability to influence and collaborate at all levels of the organization, from entry-level associates to C-suite executives.

- Demonstrated personal excellence and strong work ethic with an exceptional drive to succeed and a will to win.
- Proficient in the use and applications of arenaflex systems and processes, with a quick learning curve for new technologies.
Preferred Qualifications
- Previous experience supporting senior executives in a corporate environment, preferably within financial services or fintech.
- Understanding of global business operations and cross-cultural communication.
- Advanced proficiency in productivity tools such as Microsoft Office Suite, Google Workspace, and virtual collaboration platforms.
- Experience with complex calendar management and international travel coordination.
- Knowledge of expense reporting systems and corporate travel platforms.
