Position Overview
Are you organized, detail-oriented, and passionate about supporting community services? We are seeking a dedicated and reliable Data Entry Clerk to join our Energy Services team at arenaflex. In this crucial role, you will be responsible for maintaining organized and up-to-date digital files to support the day-to-day operations of our Energy Services Programs. Key Responsibilities
As a Data Entry Clerk at arenaflex, you will play a vital role in ensuring the smooth operation of our Energy Services Programs. Your primary responsibilities will include:
- Client Records Management: Input and maintain updated client status records in the Statewide Client Service Center, accurately reflecting the current production pipeline and ensuring all information is current and accessible.
- Communication Monitoring: Monitor emails professionally and efficiently, logging documents and communications in the Monday.com platform upon receipt to ensure seamless information flow within the organization.
- Database Management: Follow program guidelines for the use of all required database systems, including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, In Demand, and any other systems as needed. Maintain proficiency in these platforms to ensure accurate data handling.
- File Organization: Maintain organized digital and paper participant files in accordance with program guidelines, ensuring full compliance with agency and funder requirements. Proper documentation is essential for program success and audit readiness.
- Team Collaboration: Collaborate with program staff to support, enhance, and promote communication and consistency in the delivery of services. Work cooperatively with colleagues across departments to achieve common goals.
- General Clerical Support: Assist with various clerical duties, including filing, mailings, phone coverage, and other administrative tasks as needed to support team operations.
- Remote Work Availability: Maintain availability for remote work, including attending meetings, responding to emails promptly, and conducting regular duties as needed. Ensure you have a reliable home office setup.
- Meeting Attendance: Attend all required staff meetings, supervision sessions, training, and contractual meetings. Active participation is essential for professional growth and team cohesion.
- Professional Development: Participate in mandatory agency training and other relevant professional development activities to enhance your skills and knowledge in human services and data management.
- Confidentiality: Ensure strict confidentiality is maintained in all aspects of the role, protecting sensitive client information and adhering to privacy regulations and agency policies.
- Additional Duties: Perform related work as required, demonstrating flexibility and a willingness to support the team's evolving needs.
Essential Qualifications and Skills
To succeed in this role at arenaflex, candidates must meet the following requirements:
- Education: Associate degree or equivalent professional experience in a relevant field.
- Experience: Two years of experience in Human Services or a related field, OR applicable work experience working with diverse individuals and families with low incomes. We value practical experience and understand that equivalent combinations of education and experience are valuable.
- Substitution Policy: Additional appropriate education may be substituted for experience, or additional directly related experience may be substituted for education. We encourage candidates with non-traditional backgrounds to apply.
- Language Skills: Bilingual in Spanish is strongly preferred, as we serve a diverse community and language proficiency greatly enhances our ability to connect with clients.
- Technical Proficiency: Strong computer skills, including proficiency in Microsoft Office Suite and comfort with learning new software platforms. Experience with database management systems is highly valued.
- Communication Skills: Excellent written and verbal communication skills, with the ability to communicate effectively with colleagues, clients, and external partners.
- Organizational Skills: Strong organizational skills with the ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
- Attention to Detail: Exceptional attention to detail and accuracy in data entry and record keeping, as precision is critical to our program's success.

Preferred Qualifications

- Understanding of the challenges facing low-income families and individuals
