Position Overview

Key Responsibilities
As a Strategic Administrative Operations Specialist at arenaflex, you will play a crucial role in driving operational excellence and supporting strategic initiatives. Your responsibilities will include:
- Strategic Process Development: Design and implement appropriate systems and methodologies for approaching key strategic issues, utilizing existing resources while generating innovative solutions across the organization for specialized topics. Ensure process and structural fit with key stakeholders.
- Cross-Functional Leadership: Serve as a focal point for cross-functional teams and primary contact for stakeholders in developing and implementing strategies. Build effective working relationships with partners to achieve designated goals and solutions.
- Business Analysis: Partner cross-functionally to interpret and define business needs for your area of responsibility. Execute against business objectives while developing procedures and roadmaps to meet established goals.
- Strategic Planning: Develop short-and long-range strategies, plans, and meaningful goals. Oversee the execution of strategies, processes, and approaches that have significant impact on the organization.
- Documentation & Communication: Make recommendations for developing procedures and operational plans for your designated area. Share complex information related to specialized topics and interface with senior management to stay informed about organizational objectives.
- Stakeholder Management: Communicate with direct reports, peers, and management/clients/vendors to interpret information and improve cross-functional processes and projects. Build and enhance key internal and external relationships.
- Vendor Relations: Work with outside vendors and third parties to develop and maintain positive relationships. Build and improve internal and external networks to support business objectives.
- Performance Management: Set financial, operational, and quality goals while developing and directing operational plans for your area of responsibility. Ensure growth and development of customer awareness, market share, and specified initiatives.
- Market Analysis: Review the competitive marketplace and recommend adjustments to operational and strategic activities based on identified information. Proactively identify performance drivers and contribute to solutions for mitigation and optimization.
- Budget Management: May develop budgets for designated areas and deliver against business goals and objectives. Investigate performance drivers and determine significant processes to achieve overall business goals.
- Team Leadership: Coordinate teams responsible for daily operations. Oversee and coordinate the work of managers, senior managers, and their subordinates. Acquire and allocate resources to meet operational plans.
- Staff Development: Ensure the ongoing training and development of direct reports. Develop and mentor staff through onboarding, open communication, training, and development opportunities. Foster a diverse and inclusive work environment.
Essential Qualifications
To succeed in this role, candidates must meet the following requirements:
- Bachelor's degree with at least 6 years of experience in a related field OR High School Diploma/GED with at least 9 years of relevant experience.
- Minimum 2 years of experience establishing and maintaining strategic relationships with internal (peers, colleagues, and leadership) and external (business community, clients, and vendors) stakeholders within a matrix organization to develop procedures that meet departmental goals within budget and timelines.
- Demonstrated experience developing strategic initiatives that align with business goals and budget.
- Experience identifying operational issues and recommending and implementing strategies to resolve problems.
- Proven track record of leading cross-functional teams effectively.
- Experience interfacing at the executive level with confidence and professionalism.
- Experience managing client-facing programs with a focus on customer satisfaction.
- At least 5 years of experience contributing to financial decisions in the workplace.
- Minimum 5 years of direct leadership, indirect leadership, and/or cross-functional team management experience.
- Willingness and ability to travel up to 15% of the time for business purposes (both within state and out of state).
Preferred Qualifications
While not required, the following qualifications will give you a competitive edge:
- Bachelor's degree in Statistics, Engineering, Computer Science, or Information Systems.
- Master's degree or MBA.
- Experience with advanced coding languages (e.g., SAS, SQL, C++, etc.).
- Experience with system administration (e.g., Professionals, Vendavo, Vistaar, Salesforce.com, SharePoint, Wikis, etc.).
- Experience utilizing business intelligence tools to support data analysis (e.g., Business Objects, Cognos, Tableau, Power BI, etc.).
- Certified as a Salesforce administrator or developer.
- Experience in coaching, mentoring, and training less senior colleagues.
- Experience designing and executing financial models to support complex business initiatives.
- Experience communicating with executive-level leadership both internally and to client organizations.
- Project management experience (planning, organizing, and managing resources to achieve specific project goals and objectives).
- Experience with systems such as Cure and GIS.
- Experience with data extraction, data mining, data acquisition, data profiling, data warehouse management, and statistical concepts.
- At least 3 years working in a data warehouse/business intelligence/decision support systems environment, or at least 2 years of IT experience.
