Position Title: Admissions Assistant Director Job Category: Academic Staff Employment Type: Regular Job Profile: Admissions Assistant Dir (C) Job Duties: POSITION SUMMARY: Reporting to the Director of Admissions, the Assistant Director of Recruitment is a member of the admissions leadership team and provides strategic leadership for first‑year recruitment. This role oversees and supports the first‑year admissions counselor team, maintains a limited recruitment territory, and uses data to inform outreach strategy, resource prioritization, and team performance. The position also maintains a visible on‑campus presence, including delivering presentations to prospective students and serving as Visit Host during peak travel periods. The Assistant Director collaborates closely with campus partners to deliver coordinated, high‑quality recruitment and visit experiences that advance institutional enrollment goals. The role requires strong leadership, analytical skill, sound professional judgment, and a commitment to staff development and continuous improvement. Some travel is required, particularly during the fall and spring recruitment seasons. RESPONSIBILITIES: Recruitment, Outreach, and Enrollment Management Lead and support first‑year recruitment efforts by training and mentoring admissions counselors in data-informed territory planning, outreach strategy, and daily prioritization. Maintain a limited recruitment territory and actively recruit prospective students and families through events, school visits, college fairs, and individualized outreach. Coordinate and align recruitment activities and on‑campus visit experiences in collaboration with the Visit and Event Manager, Communications Manager, and Registration Team to ensure a cohesive, student‑centered experience. Deliver high-level visit experiences and keynote presentations, ensuring institutional messaging remains consistent and impactful during peak recruitment seasons. Oversee the development, implementation, and tracking of recruitment strategies and programs within a CRM system; use data to evaluate effectiveness and recommend adjustments. Analyze recruitment and enrollment data to identify trends, evaluate return on investment, and inform outreach priorities, resource allocation, and staff time management. Collaborate closely with the CRM Manager and the Associate Director of Admissions overseeing transfer recruitment, CRM, data analysis, and application processing to ensure recruitment strategies are informed by accurate data, aligned with operational processes, and responsive to enrollment trends. Assist in evaluating and enhancing admissions and recruitment policies, procedures, and practices to improve effectiveness and alignment with strategic goals. Serve as a liaison to internal and external stakeholders to strengthen partnerships and support recruitment initiatives. Maintain current knowledge of admissions, recruitment, and enrollment management practices and contribute to policy and process development. Staff Supervision and Development Provide direct supervision and leadership for the first‑year admissions counselor team, including performance management and professional development. Coach and develop the counselor team in the use of recruitment data and CRM tools to improve territory ROI and outreach effectiveness. Design, implement, and maintain a comprehensive onboarding and training program to ensure consistency and quality across territory management practices. Monitor individual and team recruitment performance using data; provide coaching, support, and accountability as needed. Foster staff engagement and encourage input to identify ongoing training and professional development opportunities. Partner with the Director of Admissions and the Admissions Leadership Team to promote a collaborative, inclusive, and high‑performing work environment grounded in communication, trust, and accountability. KNOWLEDGE, SKILLS AND ABILITIES: Key Job Responsibilities: Assists in the development and implementation of admissions and recruitment strategies and programs to attract and enroll students Serves as a unit liaison to internal and external stakeholder groups to foster partnership efforts regarding admissions and recruitment Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 full-time equivalent (FTE) employees Helps evaluate admissions and recruitment policy and procedure effectiveness and provides recommendations for improvement Communicates information about academic and co-curricular opportunities to prospective students, their families, school counselors, and others Assists in the development of strategic planning initiatives, as well as admissions and enrollment objectives, to ensure appropriate use of financial, administrative, and staffing resources, and alignment with the strategic plan Conducts events, information sessions, and school visits and attends college fairs to support enrollment for prospective and admitted students Department: Admissions Qualifications (Required) Bachelor’s degree from an accredited institution. Admissions recruiting experience in a higher education environment. Minimum of three years of experience in higher education or a closely related field. Demonstrated ability to lead, coach, and supervise staff in a supportive, collaborative environment. Strong oral and written communication skills, with the ability to build effective relationships with diverse stakeholders. Demonstrated excellence and charisma in public speaking and group facilitation, with the ability to engage prospective audiences and build immediate rapport during information sessions and recruitment events. Proven experience in exercising sound professional judgment and maintaining confidentiality. Experience developing, implementing, or supporting recruitment and enrollment strategies. Strong organizational skills, attention to detail, and ability to manage multiple priorities and meet deadlines. Ability to travel and transport materials as required for recruitment events. Ability to obtain and maintain a valid driver’s license meeting Wisconsin certification requirements. Qualifications (Preferred) Minimum of five years of progressive admissions or recruitment experience. Supervisory experience within an admissions or enrollment management context. Experience working within a budget and allocating resources responsibly. Advanced experience with CRM systems, including reporting, data analysis, or strategy development.
