Position Overview: Call Center Representative – Patient Data Entry Specialist
We are currently seeking dedicated and detail-oriented professionals to join our dynamic team as Call Center Representatives. In this role, you will be responsible for processing patient information, handling high-volume customer requests, and ensuring accurate data entry while maintaining compliance with regulatory standards. Key Responsibilities

- Patient Enrollment and Data Processing: Accurately enter new patient information into our systems following state and federal guidelines. Ensure all data is captured correctly to facilitate seamless patient care and prescription processing.
- Prescription Data Entry: Utilize arenaflex's prescription data entry procedures and guidelines to process new patient enrollments. Enter data into appropriate systems while adhering to strict accuracy standards.
- Medication Request Handling: Process patient medication requests within HIPAA guidelines, including entering refill orders for timely processing. Demonstrate understanding of medical abbreviations and SIG codes to ensure prescription accuracy.
- Exception Resolution: Investigate and resolve all data entry-related exceptions. Research missing prescription information and take appropriate action to complete processing.
- Patient Communication: Handle inbound calls, emails, and visits from patients with professionalism and empathy. Make outbound calls to prescribers and patients as needed to resolve issues or gather essential information.
- Third-Party Resolution: Resolve third-party rejections by assessing situations, collecting necessary information, recreating prescriptions, and resubmitting for processing according to specific plan requirements. Contact insurance providers and other parties to obtain information, gain override approvals, or otherwise resolve rejected claims.
- Pharmacy Support: Provide assistance to Pharmacists, both those in your office and those in other locations. Identify and escalate issues to senior-level staff as appropriate.
- Compliance and Documentation: Maintain compliance with company policies and procedures. Ensure all activities are conducted in accordance with regulatory requirements and industry best practices.
- License and Certification: Obtain an active technician license or certification within the first 90 days of employment and maintain it throughout your tenure.
Essential Qualifications
To succeed in this role, you'll need to meet the following requirements:
- Education: High School Diploma or GED required.
- Computer Skills: Basic proficiency in computer operations, including the ability to start up and shut down computers, use mouse functions, open and close programs, switch between applications, save documents, print materials, and access information online.
- Internet Skills: Basic web browser proficiency, including opening browsers, typing URLs, using search engines, bookmarking sites, navigating using back/forward/stop buttons, and completing online forms.
- Keyboard Skills: Intermediate keyboarding abilities with a minimum speed of 25 WPM, including typing from memory and organizing documents.
- Communication Skills: Excellent written and verbal communication skills, with the ability to convey information clearly and professionally.
- Age Requirement: Must be 18 years of age or older.
- Legal Authorization: Must be legally authorized to work in the United States.
Preferred Qualifications
While not required, the following qualifications will help you stand out from other candidates:
- At least 1 year of pharmacy technician experience in a retail or call center environment.
- At least 1.5 years as a pharmacy technician with certification/registration by the state as granted by the State Board for Pharmacies or a nationally recognized certification organization.
- Experience providing customer care to internal and external clients, including meeting quality standards for services and evaluating customer satisfaction.
- Intermediate to advanced keyboarding skills (minimum 35 WPM, typing from memory, organizing documents).
- Fluent in both Spanish and English – bilingual candidates are highly preferred.
- Previous experience in a healthcare customer service role.
- Familiarity with electronic health records (EHR) systems.
