We are currently seeking a skilled Contract Data Entry Specialist to join a leading Midstream Company in the Tulsa, Oklahoma area. About the Role
As a Contract Data Entry Specialist, you will play a critical role in maintaining the integrity of contractual documentation and ensuring seamless operational flow across multiple departments. This position requires someone who can navigate complex legal documents with ease, demonstrate exceptional attention to detail, and serve as a vital link between various business units.
This is a 100% on-site position working Monday through Friday from 8:00 AM to 5:00 PM, allowing you to maintain a healthy work-life balance while contributing to a dynamic team environment.
Key Responsibilities
Your day-to-day responsibilities as a Contract Data Entry Specialist will include:
- Contract Data Management: Make precise changes relating to contracting parties, including name changes, assignments, and other modifications to ensure all records accurately reflect current business relationships and legal arrangements.
- Agreement Preparation: Prepare various agreements, amendments, terminations, and contractual notices with meticulous attention to detail, ensuring all documentation meets legal and organizational standards.
- Cross-Departmental Liaison: Act as the primary liaison between multiple departments and new contracts, agreements, and changes, facilitating clear communication and ensuring all stakeholders are informed and aligned.
- Document Tracking: Ensure that all documents are properly logged and tracked through completion, maintaining comprehensive records and following up on pending items to prevent delays or oversights.
- Contract Briefs and System Updates: Prepare contract briefs summarizing key terms and conditions, and update computer systems to reflect changes and updates across various platforms.
- Land Document Management: Work with land leases, Right-of-Way (ROW) agreements, and other land-related documents, understanding the unique terminology and requirements associated with energy sector land transactions.
- File Analysis and Special Projects: Review and analyze files for accuracy and completeness, while handling additional tasks as assigned by management to support overall team objectives.
Essential Qualifications
To succeed in this role, candidates must meet the following requirements:
- Educational Background: A Bachelor's Degree is preferred; however, we welcome candidates with two or more years of related experience in contract administration, legal document management, or a similar field.
- Technical Proficiency: High-level proficiency in Microsoft Office Suite is required, with particular emphasis on advanced Excel skills for data management, analysis, and reporting.
- Document Comprehension: Demonstrated experience reading and understanding legal documents and contracts, including familiarity with contractual terminology and structure.
- Organizational Skills: Exceptional ability to multitask while maintaining strong organizational skills, managing multiple projects and deadlines simultaneously.
- Attention to Detail: Must be detail-oriented and focused, with the ability to identify discrepancies and ensure accuracy in all documentation.
- Time Management: Strong time management skills with the ability to prioritize tasks effectively and meet deadlines in a fast-paced environment.
Preferred Qualifications and Skills
While not required, the following qualifications will give you a competitive edge:
- Quorum Software Experience: Prior experience with Quolograph Software is a significant plus and will be highly valued by our client partner.
- SharePoint Proficiency: Familiarity with SharePoint for document management and collaboration.
- GIS Knowledge: Experience with Geographic Information Systems (GIS) is advantageous, particularly given the land and geographic nature of midstream operations.
- Energy Industry Background: Understanding of the energy sector, particularly midstream operations, land management, or oil and gas contract administration.
