Position Overview

We are currently seeking a dedicated and enthusiastic Customer Service Coordinator to join our dynamic team at our San Francisco location. In this role, you will be the face of arenaflex, providing exceptional service to passengers and ensuring their travel experiences are smooth, safe, and memorable. You will be responsible for a wide range of duties that keep our operations running seamlessly, from check-in assistance to addressing traveler concerns and everything in between.

Key Responsibilities

As a Customer Service Coordinator at arenaflex, you will play a pivotal role in delivering outstanding passenger experiences. Your responsibilities will include, but not be limited to:


  • Travel Sales and Promotion: Actively promote and sell air travel services to the traveling public and cargo forwarders, ensuring customers find the best options for their needs while meeting revenue targets.
  • Passenger Assistance: Provide comprehensive support during check-in, baggage acceptance, and boarding processes, ensuring accuracy and efficiency at every touchpoint.
  • Regulatory Compliance: Interpret and communicate government regulations and requirements for both domestic and international travel or freight shipments, ensuring all documentation and procedures meet legal standards.
  • Flight Operations: Meet and dispatch aircraft within established timeframes, coordinating with ground crews and flight teams to maintain schedules and minimize delays.
  • Customer Support during Disruptions: Assist disrupted or inconvenienced travelers with rebooking, accommodations, and problem resolution, turning challenging situations into positive experiences.
  • Safety and Security: Protect company property and revenue while accommodating safe travel practices, adhering to all security protocols and emergency procedures.
  • Physical Requirements: Perform various job-related tasks requiring physical capability and coordination, including operating ground support equipment.
  • Time Management: Utilize strong organizational skills to manage multiple tasks within tight time constraints, ensuring productivity and accuracy.
  • Independence and Initiative: Work self-motivated with minimal supervision, demonstrating accountability and proactive problem-solving.
  • Emergency Response: Respond effectively during security and emergency situations, following protocols to ensure the safety of passengers and staff.
  • Policy Adherence: Follow all internal and external policies and procedures consistently, maintaining professionalism and compliance.
  • Equipment Operation: May be required to drive and operate air stairs and other ground support equipment to enplane and deplane passengers safely.
  • Leadership Potential: Take responsibility for overall performance within the workspace and may be asked to lead and direct the work of other team members.
  • Communication Systems: May be required to perform Passenger Activity Control functions, including air-to-ground communications and Peak operations.

Essential Qualifications

To succeed in this role, candidates must meet the following requirements:


  • Education: Bachelor's degree or equivalent practical experience in a related field.
  • Language Skills: Must be able to read, write, speak, and understand the English language fluently. Bilingual language abilities are preferred for certain locations.
  • Driver's License: Must possess a valid driver's license as required by local authorities.
  • Background Check: Must be able to pass FAA criminal record checks to qualify for unescorted access credentials to airport security identification display areas (SIDA), if applicable.
  • Security Clearances: Must be able to obtain appropriate airport power and/or US Customs security identifications, as applicable.
  • Availability: Ability to work irregular and/or extended hours, including weekends and holidays, with the flexibility to respond to operational needs.
  • Reliability: Must be able to report to work in a regular and timely manner, demonstrating dependability and professionalism.
