What You'll Do
As a Customer Service Representative at arenaflex, you will provide comprehensive customer service support for our Review Team. This role requires a great deal of decision-making and problem-solving skills, particularly regarding various types of complex appeals. Your daily responsibilities will include:
- Correspondence Management: Typing, merging, proofreading for clarity, printing, and mailing correspondence with precision and attention to detail
- External Communication: Communicating verbally and in writing with external customers to furnish and request review information
- Relationship Building: Fostering effective working relationships between arenaflex's internal and external customers
- Process Improvement: Assisting and participating in Review Team activities to identify areas for potential improvement as noted on case reviews and processes
- Helpline Support: Answering the Beneficiary Helpline through utilization of the hunt group and available light functions; determining how to best assist callers either through services offered by arenaflex or by referring them to external agencies, properly entering referrals into the CMS system
- Quality Control: Ensuring all letters are sent in a timely manner with correct components, reviewing for grammatical and spacing errors
- Documentation: Obtaining and validating notices and all components of medical records
- Appeals Intake: Providing intake for all appeals received by arenaflex
- Compliance: Maintaining proficiency in customer service guidelines and standards
- Performance Assessment: Utilizing internal quality control tools to assess individual work and team processes
Qualifications
Essential Requirements:
- High school diploma or equivalent
- Two to three years of clerical experience including word processing, various filing systems, and telephone customer service responsibilities
- Excellent verbal communication skills with a courteous and patient demeanor
- Strong customer orientation with the ability to maintain composure under potentially stressful situations
- Good grammar, punctuation, spelling, hyphenation, and written communication skills
- Customer-focused, results-oriented mindset
- Ability to build and maintain relationships with internal and external customers
- Flexibility and ability to work as a team member while supporting team decisions
- General knowledge of PC-based computer systems
- Knowledge of various software packages with the ability to learn additional software packages as needed
- Strong multi-tasking and prioritization skills
- Good organizational skills and ability to work independently
Preferred Qualifications:
- Post-high school business courses
- Medical terminology knowledge
- Prior work experience in a healthcare setting
- Previous data entry or other clerical experience
