What You'll Do at arenaflex
As a Customer Support Specialist at arenaflex, you will be the face of our company to hundreds of child care providers, agency administrators, and program coordinators who rely on our software daily. Your role is critical in ensuring that these professionals can effectively serve the families in their communities. Here's what you can expect in this role:
Core Responsibilities
- Multi-Channel Customer Engagement: Respond to customer inquiries via telephone, email, chat, and personal interactions in a fast-paced support center environment. You'll be the first point of contact for users seeking assistance with our software, and your warm, professional approach will set the tone for their entire experience with arenaflex.
- Accurate Documentation: Meticulously document and process customer claims, issues, and resolutions in our case management systems. Attention to detail is essential to ensure continuity of care and proper tracking of all customer interactions.
- Policy Compliance: Follow all required scripts, policies, and procedures while maintaining flexibility to address unique customer situations. You'll also handle confidential information and personally identifiable information with the highest level of security and professionalism.
- Issue Escalation: Appropriately identify and escalate complex customer issues to management when necessary, ensuring that every customer receives timely and effective resolution.
- Knowledge Base Utilization: Leverage our comprehensive knowledge base and training materials to answer customer questions accurately and efficiently. Continuous learning is key to staying current with our evolving software.
- User Training: Train end-users on how to use arenaflex software products and systems through clear, patient, and effective communication. You'll help empower users to maximize the value of our solutions.
- Service Level Agreement (SLA) Adherence: Help meet and exceed customer SLAs through effective problem-solving, efficient call handling, and first-call resolution whenever possible.
- Continuous Learning: Attend team meetings, participate in training sessions, and review all new training materials to stay up-to-date on software updates, policy changes, and industry developments.
- Occasional Travel and Extended Hours: Travel may be required occasionally for conferences or customer site visits. Additionally, this role may require occasional on-call, overtime evening hours, and weekend hours depending on client needs, particularly during peak periods or system implementations.
Work Environment
This is a fully remote position, giving you the freedom to work from the comfort of your own home anywhere in the United States. However, we require all team members to maintain a dedicated home office space that is free from noise and interruptions during work hours. Our Support Center operates from 7:00 AM to 1:00 AM EST, so flexibility in scheduling is important. The first four weeks of employment will involve intensive training, with sessions potentially starting between 7:00 AM and 9:00 AM Central Time. New hires must be prepared to be flexible with their schedules during this training period.

Essential Qualifications

Preferred Qualifications
- Bilingual Skills: Written and verbal communication in multiple languages is strongly preferred, as our user base is diverse and geographically widespread.
- Support Center Experience: Previous experience working in a support center, preferably in a SaaS environment, is highly desirable.
- Child Care Industry Background: Experience within the child care industry, particularly with subsidized child care programs, is a significant plus. Understanding the unique challenges faced by child care providers will help you relate to our customers.
- familiarity with arenaflex Software: Previous experience with arenaflex software products is a tremendous advantage, though comprehensive training will be provided.
- CRM Experience: Familiarity with Customer Relationship Management (CRM) systems is helpful for tracking and managing customer interactions.
- Technical Communication Background: Three or more years of on-the-job technical writing, training, or education experience is preferred. If you've previously trained others on software systems, that experience will be valuable in this role.
