Position Overview
arenaflex is seeking a dedicated and organized Program Coordinator to provide essential data entry and quality control support across our five key Foundation programs. These critical initiatives serve diverse populations, including individuals pursuing scholarships for post-secondary degrees in hospitality, educators and schools teaching culinary arts and hospitality management, military service members in training and transition programs, employers and apprentices learning on-the-job skills, and work entry and reentry programs for opportunity youth, high school students, and justice-involved individuals.
The Program Coordinator will work directly with all programmatic teams, with a particular emphasis on data entry for federal grants and contracts. This position is essential to ensuring compliance with reporting requirements, maintaining data integrity, and supporting the ongoing success of our federal funding initiatives. The ideal candidate will possess strong administrative skills, a passion for data quality, and the ability to manage multiple priorities in a collaborative team environment.
Note: Continuation of this role is contingent upon arenaflex's ongoing receipt of funding from federal grants and contract sources.
Key Responsibilities
Data Entry and Quality Control (90%)
- Cross-Program Data Management: Assist with the data collection, management, and reporting across all Foundation programs, ensuring consistency, accuracy, and timeliness in all entries.
- Regular Data Operations: Responsible for regular data entry and quality control across multiple projects, maintaining high standards of accuracy and completeness.
- Work Entry and Reentry Programs Support: Assist with the administration of data reporting for our work entry and reentry programs, including:
- Reviewing data and documentation in CaseMGR for quality and completeness
- Entering participant data into the Department of Labor (DOL) Grantees Performance Management System (GPMS)
- Cross-checking data from both systems for alignment and consistency
- Assisting with quarterly reporting validation and remediation activities as needed
- Apprenticeship Program Administration: Support data reporting for our Apprenticeship program, including:
- Reviewing data collected from subcontractors for accuracy and proper format
- Entering DOL outreach and employer data into Salesforce
- Entering DOL RAPIDS apprentice data via Build Within API Connection
- Scholarships and Grants Support: Assist with data entry related to the scholarships and grants application and award process, including uploading invoices to DocuPeak and maintaining comprehensive records.
- Career Technical Education Data: Support the Career Technical Education annual data collection process for schools and educators, including pulling reports and ensuring data accuracy.
- Additional Duties: Perform other data entry and management tasks as needed to support team objectives and organizational goals.
Essential Qualifications
Core Skills and Competencies
- Technical Proficiency: Strong proficiency in Microsoft Excel, including advanced functions, data validation, and spreadsheet management.
- Microsoft Suite Mastery: Intermediate knowledge of the Microsoft Suite of products, including Teams, Word, and Outlook, with the ability to leverage these tools for efficient communication and task management.
- Database Experience: Experience working with databases and managing stakeholder information in a confidential and secure environment.
- Attention to Detail: Excellent attention to detail, with the ability to identify discrepancies and ensure data accuracy across multiple systems.
- Multitasking Abilities: Demonstrated ability to multitask and manage competing priorities effectively while maintaining quality standards.
- Time Management: Strong time management skills with the ability to meet deadlines and handle high-volume workloads.
- Technical Adaptability: Ability to quickly learn and master new data entry systems and requirements, adapting to evolving technology platforms.

Required Experience
- Demonstrated experience with varied data entry and management across at least two types of systems.
- Familiarity with foundations and/or the nonprofit sector is a plus.
- Fundamental knowledge of the restaurant and hospitality industry is a plus.
- Grant data reporting experience is a plus.
