What You'll Do: Key Responsibilities
As a Customer Service Representative / Relations Specialist at arenaflex, you'll be responsible for handling a diverse range of customer interactions with professionalism, patience, and a genuine people-first attitude. Your primary focus will be on problem-solving customer concerns related to contract provider payments for housing and claim status inquiries from our network of healthcare providers, including hospitals, specialists, and nursing homes.
Customer Interaction Management
- Handle high volumes of inbound and outbound phone calls, emails, and faxes from participants, their families, nursing homes, housing providers, hospitals, and billing offices
- Respond to customer inquiries in an efficient, professional, and courteous manner at all times
- Demonstrate excellent spoken and written communication skills in every interaction
- Maintain a patient and empathetic approach, especially when dealing with frustrated or distressed callers
- Ensure each customer feels heard, valued, and respected throughout their experience with arenaflex
Problem Resolution & Payment Support
- Research and investigate payment issues reported by customers and healthcare providers
- Identify solutions to complex billing discrepancies and payment delays
- Collaborate with internal teams to resolve claim status inquiries promptly
- Document all interactions and resolutions accurately in our customer relationship management system
- Follow up with customers to ensure their issues have been fully resolved to their satisfaction
Administrative & Data Management
- Enter new enrollees into our system with precision and attention to detail
- Process new authorization referrals for hospitals, nursing homes, and home care services
- Update participant demographics, insurance information, and other critical data
- Send and receive correspondence related to patient care and billing matters
- Perform various data entry tasks to maintain accurate records and ensure seamless operations
- Maintain compliance with all regulatory requirements and company policies
What We're Looking For: Required Qualifications

- Experience: A minimum of 5 years managing high-volume customer service in a healthcare setting, including handling inbound and outbound calls, processing referrals, managing correspondence, and addressing payment and claim inquiries from housing providers and billing companies
- Regulatory Compliance: Upon hire, you must successfully complete a criminal background check in compliance with the Department of Human Services (DHS) requirements, based on assigned duties
- Communication Skills: Excellent spoken and written customer service skills, with the ability to communicate clearly, professionally, and empathetically
- Technical Aptitude: Proficiency with basic computer applications and the ability to learn new software systems quickly
- Multitasking Abilities: Capability to handle multiple tasks simultaneously while maintaining accuracy and attention to detail
