Position Overview

The Customer Support Specialist at arenaflex serves as the vital link between our organization and our valued clients. In this pivotal role, you will be responsible for addressing and resolving all customer inquiries, questions, and issues while providing the best possible customer experience at every interaction. You will be responsible for correcting errors, coordinating with process servers, moving orders efficiently through our system, and providing accurate information and timely updates to clients. Collaboration with other internal teams is essential to ensure all necessary tasks are completed on orders, making this role integral to our overall operational success. Key Responsibilities

As a Customer Support Specialist at arenaflex, your primary responsibilities will include:


  • Customer Ticket Management: Respond to customer support tickets with professionalism and efficiency, answering questions and resolving issues related to existing orders while ensuring each customer feels valued and heard.
  • High-Volume Phone Support: Manage high-volume phone calls to assist customers with existing orders, providing status updates, troubleshooting issues, and offering solutions. Additionally, guide new customers through the process of placing orders online, ensuring a smooth and positive onboarding experience.
  • Email Correspondence: Respond promptly and professionally to emails, addressing questions and concerns from customers, handling internal department queries relating to orders or payment on orders, and coordinating with process servers in the field to ensure seamless service delivery.
  • Documentation & Knowledge Management: Document issues, resolutions, and process improvements in Confluence to maintain a comprehensive knowledge base that supports team collaboration and continuous improvement initiatives.
  • Court Docket Research: Visit court dockets to obtain critical information on case filings. Occasionally pull filed papers and ensure all relevant documentation is accurately processed and integrated into our systems.
  • Cross-Functional Collaboration: Work closely with other departments and teams to ensure all necessary tasks are completed on orders, facilitating smooth operations and maintaining our reputation for reliability and efficiency.
  • Additional Duties: Perform other job-related duties as assigned, contributing to the overall success of the team and organization.

Essential Qualifications

To succeed in this role, candidates must meet the following requirements:


  • Education: High school diploma or GED required.
  • Experience: One to three years of customer support or call center experience assisting customers over the phone is required. Prior experience in a legal services, financial services, or high-volume customer service environment is highly preferred.
  • Technical Proficiency: Demonstrated proficiency with computer programs including Microsoft Outlook, Excel, and Word is required. Experience with PDF editors and modern phone systems is preferred.
  • Document Manipulation: Strong experience with document manipulation, including editing, formatting, and managing various document types.
  • Language Skills: Excellent ability to read, write, and speak English is mandatory. Strong verbal communication skills are essential for effective customer interactions.
  • Information Processing: Ability to transcribe information accurately, review orders thoroughly, investigate issues systematically, and implement effective solutions.
  • Attention to Detail: Ability to perform repetitive tasks with accuracy while maintaining consistency and quality throughout all work products.
  • Stress Management: Ability to maintain a high level of work product in often stressful situations, demonstrating resilience and professionalism at all times.
  • Problem Anticipation: Ability to anticipate issues and circumvent them before they escalate, demonstrating proactive thinking and strong problem-solving skills.
