The Events Registrar plays a critical role in managing all aspects of participants’ registration for conferences and events, ensuring a seamless experience from registration launch through post-event reporting.


Responsibilities

  • Build, test, launch, and manage online registration forms for conferences and events using approved registration platforms
  • Maintain registration databases, including attendee profiles, session selections, payments, and special accommodations
  • Monitor registration activity and troubleshoot issues to ensure smooth user experience
  • Manage registration deadlines, capacity limits, waitlists, substitutions, and cancellations
  • Monitor the conference registration inbox and respond to attendee inquiries in a timely, accurate, and professional manner
  • Serve as a primary point of contact for registration-related questions, including payments, confirmations, policies, and logistical details
  • Draft and send registration-related communications such as confirmations, reminders, updates, and instructional emails
  • Escalate complex or sensitive inquiries to appropriate internal stakeholders as needed
  • Prepare materials for on-site check-in, including but not limited to: registration staff pre-conference communication, training materials, attendee lists, and registration desk documentation
  • Provide in-person and remote, front line troubleshooting during events to resolve attendee issues efficiently and discreetly, ensuring registration data real time updates and accuracy
  • Ensure accuracy, integrity, and confidentiality of attendee data in compliance with organizational and data privacy standards
  • Generate registration, attendance, and reconciliation reports for event leadership and finance teams
  • Support post event data cleanup and evaluation reporting
  • Partner with event managers, communications & marketing, finance, and other stakeholders to align registration processes with event goals and ensure alignment with company procedures
  • Assist with testing, refining, and improving registration workflows and tools
  • Contribute to standard operating procedures and documentation related to registration processes
  • This role may be required to travel up to 10% of the time, including traveling internationally

  • 1–3 years of experience in event registration, conference operations, or event management
  • Familiarity with SAAS-based event platforms
  • Proficiency with project management tools, Microsoft Office Suite, Confluence, and Monday.com a plus
  • Familiarity with Swoogo registration platform is a plus
  • Experience supporting large, multi-day conferences
  • Familiarity with payment processing and basic financial reconciliation
  • Experience with CRM systems or attendee databases
  • Strong Excel or reporting skills
  • Experience working in a remote environment
