Position Overview

As a Remote Travel Sales Representative & Customer Service Specialist at arenaflex, you will serve as the primary point of contact for our valued clients throughout their travel planning journey. This multifaceted role combines sales acumen with exceptional customer service skills to guide travelers toward achieving their dream vacation packages.

You will work collaboratively with our team members through virtual meetings, monthly calls, and ongoing communication channels to ensure consistent delivery of our brand promise.   • Payment Processing: Handling payment applications accurately and sending timely payment reminders to ensure smooth financial transactions. Attention to detail is critical in this aspect to maintain trust and transparency with our clients.
  • Travel Logistics Management: Managing flight changes, seat assignments, and other booking modifications with efficiency and care. You will serve as the primary liaison for all travel-related arrangements.
  • Concierge Services: Arranging premium experiences for clients, including spa reservations, touring activities, dinner reservations, and other special amenities that enhance their travel experience.
  • Pre-Departure Preparation: Preparing comprehensive client documents and travel tips, including advising what materials should be printed. This documentation must be completed no later than three weeks before departure to ensure clients have ample time to review their itineraries.
  • Preference Coordination: Corresponding with clients about their preferences and assisting with arranging special surprises and welcome notes. You will notify hotels and service providers of client preferences no later than one week before departure.
  • Documentation & Reporting: Updating daily activities, generating reports, and maintaining accurate status information in our cloud-based CRM system. This ensures seamless handovers and provides management with visibility into team performance.
  • Profile & Booking Management: Maintaining current and accurate client profiles and booking information in our systems, ensuring all details are up-to-date and readily accessible.
  • Emergency Support: Serving as backup travel support and acting as the main point of contact during emergencies. This may occasionally require attention outside of normal business hours, demonstrating your commitment to client care.
