Position Overview

As a Staff Assistant at arenaflex, you'll be the backbone of our station operations, providing comprehensive administrative support that keeps our teams functioning at their best.

Key Responsibilities
As a valued member of our team, you will be responsible for a wide range of office duties that are essential to our daily operations. Here's what you can expect:
- Calendar & Meeting Management: Organize meeting schedules, coordinate appointments, and ensure smooth communication across teams. You'll be the go-to person for keeping everyone on track and informed.
- Communication Support: Draft, file, and distribute correspondence. You'll handle phone coverage with professionalism, welcoming and directing clients while maintaining a positive first impression for arenaflex.
- Visitor Relations: Greet and coordinate clients, ensuring they feel valued and well-cared for during their interactions with our organization.
- Mail & Supplies Management: Handle incoming and outgoing mail, order office supplies, and manage distribution to ensure our teams have what they need to succeed.
- Financial Administration: Reconcile P-card spending, process finance transactions in Workbrain for management and ground staff, and assist with budget preparation and reconciliation—including monthly closeouts of landing fees.
- Event Planning: Support station event planning, coordination, and execution, including team celebrations, lunch meetings, holiday parties, and recognition events.
- Employee Onboarding Support: Track and ensure employees complete onboarding obligations, including system access, storage assignments, mailboxes, uniforms, badges, fingerprinting, training, and more.
- Technology Support: Investigate and escalate office technology issues, including phone systems and copier machines, ensuring minimal disruption to operations.
- Record Maintenance: Maintain employee records, station meeting schedules (including monthly emergency response), and various periodic reports such as performance, audit, cost, employee engagement, and recognition metrics.
- Manual Updates & Documentation: Update required manuals and maintain all security-related documentation with precision and attention to detail.
- Regulatory Compliance: Manage records for OSHA and safety requirements (301 forms, weekly and annual documentation) and support auditing activities as needed.
- Timekeeping & Data Entry: Assist with timekeeping functions, data entry, data verification, reconciliations, and record-keeping to ensure accurate payroll and attendance tracking.
- Incentive Fund Tracking: Track and verify incentive funds earned by team members, ensuring fair and accurate distribution.
- Vendor & Department Liaison: Liaise with CRE/Departments and vendors to track local programs and initiatives as needed.
- Cross-Functional Collaboration: Lead or coordinate work with other ground staff to ensure seamless operations across departments.
- Backup Functions: Act as backup for other finance-related functions as required, providing flexibility and support during peak periods or absences.
Essential Qualifications
To succeed in this role, you'll need:
- Education: A Bachelor's degree is required.
- Experience: Prior office or administrative experience is essential. You should be comfortable in a support role and familiar with the demands of a busy office environment.
- Technical Proficiency: Strong knowledge of Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. You'll need to create documents, manage spreadsheets, build presentations, and communicate effectively via email.
- Organizational Skills: Exceptional attention to detail, with the ability to prioritize tasks and meet deadlines consistently.
- Multi-tasking Abilities: Capacity to thrive in a fast-paced environment while handling multiple responsibilities simultaneously.
- Self-Motivation: Strong self-starter with excellent interpersonal skills and the ability to work independently or as part of a team.
- Communication Skills: Ability to understand concepts and functionality of specific software and programs, and to adapt quickly to new systems and processes.
