Position Overview

As the Business Support and Administration Supervisor for the arenaflex Vacation Club, you will provide direction and mentorship to teams of Cast Members, which includes over 200+ Cast Members, while also overseeing the work requirements and management of the Vacation Club Sales Association. You will play a crucial role in implementing and coordinating the Vacation Club's presence onboard arenaflex Cruise Line, at the arenaflex World Resort, and during virtual event productions, while also offering daily operational support to both the Sales and Lead Generation teams and promoting growth and flexibility across various aspects of the overall operation.

This is a leadership position that requires someone who thrives in a dynamic, fast-paced environment and can effectively manage multiple stakeholders across different locations and platforms. You'll be working closely with cross-functional teams to ensure seamless operations and exceptional member experiences.

Key Responsibilities


  • Lead Multiple Operational Areas: Manage various business locations on arenaflex property, virtually, and onboard arenaflex Cruise Line, ensuring that infrastructure and resources are effectively managed and optimized for maximum efficiency.
  • Team Leadership and Mentorship: Provide guidance and mentorship to the Operations team, enabling them to achieve elevated levels of service for both Cast Members and Guests, fostering a culture of excellence and continuous improvement.
  • Performance Management: Effectively communicate team expectations, manage team performance, and evaluate individual contributions to drive improvements in operational efficiency and customer satisfaction.
  • Visitor Experience Enhancement: Focus on improving the Guest experience and optimizing resource utilization, with an emphasis on the sales process, client engagement, and conversion strategy, ensuring that support materials and production elements align with this objective.
  • Strategic Project Implementation: Implement strategic projects while fostering a positive approach to change management among Cast Members in a dynamic, high-paced workplace with evolving priorities and deadlines.
  • Cross-Departmental Collaboration: Collaborate with leaders from Non-Operations departments to provide valuable input and guidance to the Sales and Lead Generation team working within the Business Operations, including Vacation Club Partners and Vacation Club Advisors to ensure that training and development initiatives are aligned with performance feedback.
  • Cruise Line Operations: Manage and coordinate the Vacation Club's presence onboard arenaflex Cruise Line, including transportation logistics, Guest communication, and integration with the cruise line's operations and guest services.
  • Virtual Event Production: Supervise virtual event productions, ensuring seamless communication and integration of virtual sales activities, while also optimizing the use of technology for training and development purposes.
  • Resort Collaboration: Collaborate with operations teams at arenaflex World Resort to align sales strategies, infrastructure requirements, and Guest experience improvements across all touchpoints.
  • Infrastructure Management: Ensure that the necessary infrastructure, both physical and technological, is in place to support sales operations across various locations and platforms.
  • Marketing Materials Development: Collaborate with production teams to create effective support materials that enhance sales efforts and improve the overall Guest experience.

Essential Qualifications


  • Experience: 2+ years of experience supporting outreach team operations in a sales, hospitality, or customer service environment.
  • Sales Process Knowledge: Comprehensive understanding of the sales process including client engagement and conversion strategy, with the ability to apply this knowledge to drive results.
  • Operational Management: Understanding of labor and scheduling functionality crucial for managing operational resources effectively and efficiently.
  • Talent Development: Ability to identify, support, and invest in talent within your team to promote engagement, collaboration, and overall job satisfaction among team members.
  • Leadership Skills: Ability to lead and direct team performance and drive operational improvements through effective coaching and performance management.

  • Travel Availability: Willing and able to travel and work onboard arenaflex Cruise Line as required by the role.
  • Schedule Flexibility: Ability to be flexible with work schedule, including evenings, weekends, and holidays to meet operational needs.

Preferred Qualifications


  • Guest Experience Leadership: 2+ years of experience as a Guest Experience Director or similar role in hospitality or vacation ownership.
  • Property Knowledge: In-depth knowledge of arenaflex World policies and procedures, including guest services standards and operational protocols.
  • Workforce Management: Experience with workforce management systems and scheduling optimization in a high-volume operational environment.
  • Continuous Improvement: Experience with continuous improvement processes such as Lean Six Sigma or similar methodologies.
  • Vendor Management: Experience effectively managing vendor relationships and external partner collaborations.
  • Technical Systems: Proficiency in using software like Avaya/Telecom and customer relationship management (CRM) programs to track leads, manage client relationships, and analyze sales data.
  • Virtual Event Technology: Experience with IT systems to plan and execute virtual event sessions and digital engagement platforms.
