What You'll Do
We are seeking a Customer Service Representative to provide comprehensive customer service support for our Review Team. This role is critical to our mission and involves a wide range of responsibilities that require attention to detail, strong communication skills, and the ability to handle complex situations with professionalism and empathy.
Your key responsibilities will include:
- Correspondence Management: Responsible for typing, merging, proofreading for clarity, printing, and mailing correspondence. You'll ensure all letters are sent in a timely manner with correct components, reviewing for grammatical and spacing errors to maintain our high standards of communication.
- External Communication: Communicate verbally and in writing with external customers to furnish and request review information. Build and foster effective working relationships between Arenaflex's internal and external customers.
- Helpline Support: Answer the Beneficiary Helpline through the utilization of the hunt group and available light functions. Determine how to best assist callers either by a service offered by Arenaflex or by referring them to an external agency. Properly enter referrals into the CMS system.
- Quality Assurance: Utilize internal quality control tools to assess individual work and team processes. Assist with and participate in identifying areas for potential improvement as noted on case reviews and processes.
- Records Management: Get and validate notices and all components of medical records with accuracy and attention to detail.
- Appeals Processing: Provide intake for all appeals received by Arenaflex. This position requires a great deal of decision-making regarding different types of complex appeals.
- Compliance: Proficient in customer service guidelines and standards. Maintain compliance with all regulatory requirements and company policies.
Qualifications
What You'll Need (Essential):
- High school diploma or equivalent
- Two to three years of clerical experience including word processing, various filing systems, and telephone customer service responsibilities
- Excellent verbal communication skills with a courteous and patient demeanor
- Must be customer-oriented and have the ability to maintain composure under potentially stressful situations
- Strong grammar, punctuation, spelling, hyphenation, and written communication skills
- Customer-focused, results-oriented, and capable of building and maintaining relationships with internal and external customers
- Must be flexible and able to work as a team member and support team decisions
- General knowledge of PC-based computer systems
- Knowledge of various software packages with the ability to learn additional software packages as needed
- Must be able to multi-task and prioritize assignments
- Good organizational skills and ability to work independently
