What You Will Do

As a Customer Service Representative at arenaflex, you will be responsible for providing comprehensive customer service support for our Review Team. This role requires a unique blend of communication skills, attention to detail, and the ability to make sound decisions in complex situations. Here is what your daily responsibilities will look like:

Core Responsibilities


  • Handle typing, merging, proofing, printing, and mailing of correspondence with meticulous attention to detail.

  • Communicate professionally, both verbally and in writing, with external customers to furnish and request review information.

  • Foster effective working relationships between arenaflex's internal and external customers, building trust and rapport with every interaction.

  • Participate actively with the Review Team in identifying areas for potential improvement based on case reviews and process analysis.

  • Answer the Beneficiary Helpline professionally, utilizing the hunt group and available functions effectively.

  • Determine the best course of action to assist callers, whether through services offered by arenaflex or by referring them to external agencies, and properly enter referrals into the CMS system.

  • Ensure all outgoing letters are sent in a timely manner with correct components included, reviewing carefully for grammatical and spacing errors.

  • Obtain and validate notices and all components of medical records with precision and accuracy.

  • Provide intake support for all appeals received by arenaflex, ensuring proper documentation and processing.

  • Maintain proficiency in customer service guidelines and standards, always representing arenaflex with excellence.

  • Utilize internal quality control tools to assess individual work performance and team processes, continuously striving for improvement.

Qualifications We Are Looking For

Education and Training


  • High school diploma or equivalent required.

  • Post-high school business courses are helpful and preferred.

  • Knowledge of medical terminology is highly desired.

Essential Skills and Competencies


  • Exceptional Communication Skills: Excellent verbal communication skills with a courteous and patient demeanor. You must be customer-oriented and have the ability to maintain composure under potentially stressful situations.

  • Strong Written Communication: Good grammar, punctuation, spelling, hyphenation, and written communications skills are essential for this role.

  • Customer Focus: Results-oriented with the ability to build and maintain relationships with both internal and external customers.

  • Team Player: Must be flexible and able to work collaboratively as a team member while supporting team decisions.

  • Technical Proficiency: General knowledge of PC-based computer systems with the ability to learn various software packages quickly.

  • Multitasking Abilities: Must be able to juggle multiple tasks and prioritize assignments effectively.

  • Organizational Skills: Strong organizational skills with the ability to work independently and manage your time wisely.

  • Decision Making: This position requires a great deal of decision-making regarding different types of complex appeals—you must be confident in your judgment and able to think on your feet.

Experience Requirements


  • Two to three years of clerical experience including word processing, various filing systems, and telephone customer service responsibilities.

  • Prior work in a healthcare setting or medical terminology experience is recommended.

  • Previous data entry or other clerical experience is a plus.
