Role Overview

We are currently seeking full-time and part-time Remote Customer Care Agents to join our growing team. In this position, you will serve as the primary point of contact for our valued clients, guiding them through the entire travel planning process and ensuring their journeys exceed expectations. You'll be responsible for managing client relationships from initial inquiry through post-travel follow-up, creating customized itineraries that align with each client's unique preferences and goals. Key Responsibilities

As a Remote Customer Care Agent at arenaflex, your responsibilities will encompass a wide range of client-facing and operational tasks designed to deliver world-class service:


  • Client Relationship Management: Build and maintain strong, lasting relationships with clients by understanding their unique preferences, travel goals, and special requirements. Serve as their trusted advisor throughout the planning process and during their travels.
  • Itinerary Creation & Management: Design personalized travel itineraries that align with client objectives, incorporating flights, accommodations, activities, and special requests. Ensure all details are meticulously planned and communicated clearly.
  • Payment Processing: Handle client payments professionally, including applying payments to reservations and sending timely payment reminders. Maintain accurate financial records and ensure compliance with company policies.
  • Flight & Travel Logistics: Manage flight changes, seat assignments, and other travel-related adjustments. Handle rebooking scenarios with efficiency and empathy, especially in unexpected situations.
  • Concierge Services: Arrange premium experiences such as spa appointments, restaurant reservations, guided tours, and exclusive experiences. Go above and beyond to create memorable moments for every client.
  • Client Communication: Correspond with clients regarding preferences, special occasions, and surprise arrangements. Notify hotels and service providers of client preferences at least one week before departure.
  • Documentation & Travel Preparation: Prepare comprehensive travel documents, including itineraries, travel tips, and essential information. Ensure clients receive all necessary materials no later than three weeks before departure.
  • CRM & Reporting: Maintain detailed records in our cloud-based CRM system, documenting daily activities, client interactions, and booking statuses. Generate reports as needed to track performance and client satisfaction.
  • Team Collaboration: Foster teamwork by collaborating with teammates, sharing best practices, and supporting colleagues during high-volume periods. Participate in virtual meetings, training sessions, and team building activities.
  • Emergency Support: Serve as a backup point of contact for clients during emergencies, which may occasionally occur outside normal business hours. Demonstrate reliability and composure in crisis situations.
  • Continuous Improvement: Proactively identify opportunities to enhance client experiences and streamline operational processes. Embrace innovation and suggest new ways to surprise and delight clients consistently.
